Job Description

The Sales & Leasing Coordinator is responsible for managing all aspects of the sales and leasing application process while providing exceptional customer service to residents, prospective owners, renters, and realtors. This role requires strong organizational skills, attention to detail, and the ability to handle high-volume inquiries professionally.


Key Responsibilities:

  • Answer a high volume of phone calls related to the Olympus application process, addressing questions and concerns promptly and professionally.

  • Manage and process approvals for prospective owners, renters, and realtors in accordance with association policies.

  • Prepare and complete estoppel letters, questionnaires, and affidavits received from title companies and law offices, verifying accuracy with the Accounting Department.

  • Greet residents, vendors, contractors, and visitors at the service window, providing assistance and directing inquiries to the appropriate department.

  • Prepare and distribute application packages for prospective owners, renters, and realtors.

  • Create, update, and maintain PowerPoint presentations for new residents, including Rules & Regulations, amenities, and available services.

  • Review all submitted applications to ensure completeness and confirm receipt of all required payments.

  • Process background checks using Tenant Evaluation, review reports, and escalate any concerns to the General Manager.

  • Collect and organize required documentation for all applicants and coordinate screening interviews, confirming attendance via telephone.

  • Generate and notarize approval letters for new owners and renters.

  • Enter and maintain owner and renter information in the TOPS management system.

  • Manage lease renewals and coordinate with the Technology Department to update ID access cards and sun passes.

  • Generate monthly sales and leasing reports for the General Manager.

  • Confirm renter move-out reports with Security.

  • Submit requests to Accounting for the release of common area deposit refunds ($1,000) upon move-out.


Full-Time

Pay Rate:$23-$25 DOE
