Eagles’ Nest Community Charter School is seeking a dependable and dynamic Office Manager to join our K–8 team and help create a welcoming, efficient, and student-centered front office.

As the Office Manager, you will be responsible for overseeing and managing the daily operations of the school office, ensuring smooth and efficient functioning. In this leadership role, you’ll supervise office staff, coordinate administrative functions, and work closely with school leadership to create an environment that supports students, parents, and staff with professionalism and care.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Office Operations Management: Oversee all front office operations, ensuring smooth and efficient day-to-day functioning of the office.
  • Staff Supervision: Manage office staff, including Office Assistants, assigning duties, and ensuring workflow and communication standards are met.
  • Administrative Support: Provide executive-level administrative support to school leaders, including calendar management, correspondence, and document preparation.
  • Record and Data Management: Ensure accurate record-keeping, maintain filing systems, and oversee student information management.
  • Supply and Inventory Management: Manage office supplies and oversee purchase orders for both office and classroom needs.
  • Substitute Coordination: Coordinate substitute teachers, ensuring logistics and schedules are communicated clearly.
  • Communication Leadership: Assist in drafting newsletters, announcements, and other school-wide communications, ensuring information is accurate, timely, and consistent.
  • Confidentiality and Compliance: Ensure that sensitive information related to students and school operations is handled with confidentiality and in compliance with relevant laws and regulations.
  • Problem Solving and Support: Act as a point of contact for troubleshooting day-to-day issues within the office and support staff and families with solutions.
  • Project Management: Take on special projects as needed to improve office efficiency and enhance the school’s operational goals.

  • Confidentiality: Maintains strict confidentiality in handling school-related matters, especially concerning student information.

JOB REQUIREMENTS

  • High school diploma or equivalent required; Associate’s degree or higher preferred.
  • 2-3 years of office management experience (school experience preferred).
  • Proven track record of managing administrative functions and leading office teams.
  • Successful completion of criminal and employment background checks.
  • Proficient in Microsoft Office Suite; experience with student information systems preferred.
  • Strong organizational, time-management, and multitasking skills.
  • Bilingual ability and previous experience in a school environment is a plus.
  • Comfortable working in a team-oriented and learning-centered environment.
  • Ability to work independently and proactively in a leadership capacity.
