Position Summary

We are seeking a dedicated and proactive Client Relations Coordinator to join our team. In this dynamic role, you'll support event coordination, digital and social media marketing, and day-to-day administrative tasks. You'll also play a key role in scheduling appointments with prospective clients and ensuring they receive exceptional care throughout the process. Travel is required.


Key Responsibilities

• Promote and encourage referrals during client interactions to support business development opportunities.

• Sponsor and attend client-focused and “bring-a-friend” events to build relationships and drive development.

• Manage all inbound and outbound calls with a focus on scheduling appointments for advisors.

• Follow up with event attendees and book post-event appointments.

• Confirm daily appointments to ensure meeting attendance.

• Enter and update prospective client data in the CRM for tracking and follow-up.

• Coordinate advisor calendars with clients and prospects for efficient scheduling.

• Dedicate 60–70% of your day to prospecting calls and setting appointments.

• Support technology-driven initiatives to increase client engagement and appointment volume.

• Prioritize appointments based on revenue potential and advisor availability.

• Track and report event outcomes and call metrics daily.

• Use Microsoft Office Suite to manage scheduling, documentation, and communication tasks.

Requirements:Must-Have Qualifications

Willing to travel up to 50%, including overnight trips for seminars and events.

• Must be authorized to work in the U.S. without sponsorship.

• Strong organizational and time management skills, with the ability to multitask and work independently with minimal supervision.

• Excellent communication and interpersonal skills; comfortable networking with clients both in person and over the phone.

• Professional demeanor with a client-focused attitude and strong phone etiquette.

• Proven experience in event and travel coordination, including managing supplies and equipment.


Requirements

Background and Education:

• High school diploma required; some college, degree, or equivalent work experience preferred.

Technology Expertise:

• Advanced knowledge of Microsoft Office Suite is necessary.

• CRM database experience is preferred but not required.

• Proficiency in calendar management, ensuring advisor schedules are well-organized.


Physical & Work Environment Requirements

• Ability to work for extended periods at a desk using a computer.

• Ability to lift up to 10 pounds if/when necessary.

• Routine use of telephone and email.

• Office-based role with potential travel to conferences, events, and satellite offices as needed.
