About the Role:

The Referral Coordinator plays a critical role in managing and streamlining the referral process within healthcare or service organizations to ensure timely and accurate patient or client referrals. This position is responsible for acting as a liaison between patients, healthcare providers, and external agencies to facilitate seamless communication and coordination. The Referral Coordinator ensures that all referral documentation is complete, accurate, and compliant with organizational policies and regulatory requirements. By maintaining detailed records and tracking referral statuses, the coordinator helps improve patient outcomes and organizational efficiency. Ultimately, this role supports the organization’s mission by enhancing the referral experience and fostering strong professional relationships across departments and external partners.

Minimum Qualifications:

  • High school diploma or equivalent; associate degree or higher preferred.
  • Experience in a healthcare or administrative coordination role, preferably involving referrals or patient scheduling.
  • Proficiency with electronic health record (EHR) systems and standard office software (e.g., Microsoft Office).
  • Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both verbal and written, to interact effectively with diverse stakeholders.

Preferred Qualifications:

  • Bachelor’s degree in healthcare administration, business, or related field.
  • Familiarity with insurance verification processes and healthcare billing terminology.
  • Experience working in a multidisciplinary healthcare environment.
  • Knowledge of HIPAA regulations and patient privacy standards.
  • Certification in medical office administration or healthcare coordination.

Responsibilities:

  • Manage incoming and outgoing referrals by verifying patient information and eligibility.
  • Coordinate communication between patients, healthcare providers, and external referral sources to ensure timely follow-up.
  • Maintain accurate and up-to-date referral records in electronic health record (EHR) systems or other databases.
  • Monitor referral status and proactively address any delays or issues to facilitate smooth transitions of care.
  • Collaborate with clinical and administrative teams to optimize referral workflows and improve service delivery.
  • Provide patients and providers with clear instructions and information regarding referral processes and next steps.
  • Ensure compliance with privacy regulations and organizational policies related to patient information and referrals.
