Key Responsibilities:
- Welcome patients, visitors, vendors, and staff while providing outstanding customer service.
- Direct guests to the appropriate departments and assist with general questions or requests.
- Answer and route incoming phone calls using a multiline phone system while taking accurate messages when needed.
- Maintain a clean, organized, and professional reception area.
- Manage visitor check-in procedures and issue visitor badges in accordance with office security protocols.
- Notify team members promptly when visitors arrive.
- Respond to routine and emergency calls by following established office procedures.
- Receive, process, and distribute incoming and outgoing mail, packages, and deliveries.
- Coordinate shipments through common carriers and postal services.
- Assist with general office support, including filing, copying, scanning, and document preparation.
- Monitor office equipment and report maintenance needs while helping maintain office supplies and equipment logs.
- Provide additional administrative support as assigned.
Qualifications:
- High school diploma or GED required.
- Previous experience in a receptionist, front desk, customer service, or administrative support role.
- Experience operating a multiline telephone system.
- Working knowledge of general office procedures and standard office equipment, including copiers, printers, scanners, and computers.
- Strong interpersonal and communication skills.
- Excellent organizational skills with the ability to multitask in a busy environment.
- Professional demeanor with a strong commitment to customer service.
- Ability to maintain confidentiality while handling sensitive information.
