You will play a critical role in ensuring the smooth operation of our office and supporting our HR team in various capacities.
Responsibilities
<ul>
<li>Utilize QuickBooks Online for data entry and financial management.</li>
<li>Create, process, and manage invoices; handle billing and email communications.</li>
<li>Conduct daily billing and HR meetings to ensure operational efficiency.</li>
<li>Maintain and organize HR files and execute daily filing tasks.</li>
<li>Process time off requests within 24 hours.</li>
<li>Schedule staff weekly, preparing schedules a month in advance.</li>
<li>Generate daily productivity reports and SOAP audits.</li>
<li>Audit time cards and perform batch processing.</li>
<li>Handle purchase orders, package logs, car logs, and coordinate maintenance.</li>
<li>Facilitate weekly staff meetings, preparing agenda and minutes.</li>
<li>Lead weekly RT staff/admin meetings.</li>
<li>Manage aging invoices and ensure timely collection of past due items.</li>
<li>Provide immediate feedback on accounts requiring special handling.</li>
<li>Adhere to departmental lunch and break schedules.</li>
<li>Assist in interviewing, onboarding, training, hiring, and managing HR needs including license renewals.</li>
<li>Coordinate equipment repairs with the Clinician Team.</li>
<li>Manage computer login passwords and restart computers weekly.</li>
<li>Oversee staff emails, mailboxes, and perform daily HR and accounting checklists.</li>
<li>Send nightly recap and pending reports by 7 PM, followed by a 6:30 PM call.</li>
<li>Close the clinic securely and manage key holder responsibilities.</li>

Essential Skills
<ul>
<li>Experience with QuickBooks Online.</li>
<li>Proficient in creating and processing invoices.</li>
<li>Strong billing and payroll experience.</li>
<li>Experience in scheduling staff.</li>
<li>Proficiency in Excel reporting.</li>
<li>HR experience including onboarding, recruitment, training, hiring, and firing.</li>
<li>Strong data entry and administrative support skills.</li>
</ul>

<li>Customer service experience.</li>

Work Environment
This role is based on-site, Monday through Friday, from 9:30 AM to 6:30 PM, with occasional Saturday shifts if needed. Our team is mission-driven, dedicated to providing comprehensive rehabilitation services. You will work in a high-performance environment under the guidance of a Doctor of Physical Therapy, benefiting from a unique leadership model that offers diverse responsibilities and growth opportunities
Pay and Benefits
The pay range for this position is $30.00 - $35.00/hr.
