University Business Administrators - Division of Undergraduate Studies

Responsibilities

Responsible for providing administrative support to Advising First within the Division of Undergraduate Studies (UGS), including departmental human resource functions.
  • Purchasing and travel representative for Advising First. Interprets purchasing policies and procedures and provides recommendations to AF leadership for new processes, procedures, and policies. Monitors assigned budgets and may prepare financial reports as needed. Serves as backup for other departments within the Division of UGS.
  • Conducts Human Resources transactions for Advising First including job postings, onboarding, terminations, and personnel actions. Works with UGS Sr. HR Management to monitor active employees, time entry and payroll. Helps monitor Advising First promotion plan. Provides support to hiring managers. Interprets University policies and procedures, providing recommendations based on Advising First business practices and objectives. Serves as backup for other departments within the Division of UGS.
  • Serves as first point of contact for students, visitors, and staff in the Advising First-Center for Academic Planning office. Primary liaison between Advising First and other departments and colleges. Greets all visitors to the office, triages situation and directs them to appropriate staff member or campus resource.
  • Prepares and distributes correspondence, reports, meeting notes, and forms. Responsible for special projects, calendar maintenance, and correspondence as assigned. Coordinates office staff schedules and supervises assigned OPS staff.
  • Serves as Facilities Liaison Officer and security rep for Advising First offices. Coordinates and assists with office moves, space renovations, and surplus furniture. Manages work orders, key requests, and inventory.
  • Coordinates and/or serves on committees for planning and implementing department events and activities.

Qualifications

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)

Preferred Qualifications
  • Able to provide excellent customer service in an academic environment.
  • Ability to communicate effectively with different groups and/or individuals verbally or in writing and in a calm, confident manner with complete objectivity.
  • Experience with using the OMNI system, Microsoft applications including Outlook, Word, Excel, etc., and Zoom.
  • Experience handling multiple work assignments simultaneously and prioritizing based on departmental need.
  • Ability to interpret and explain policies, procedures, goals, and objectives to students, parents, faculty, and staff.
  • Ability to establish and maintain effective working relationships with students, parents, supervisors, and interdepartmental personnel.
  • Attention to detail with a high standard of integrity.
