Under the general supervision of Finance leadership, and in accordance with established policies and procedures, the Accounting Assistant performs a variety of clerical and accounting support tasks requiring knowledge of office practices and basic accounting principles. Responsibilities include processing high-volume data entry, maintaining documentation and filing, supporting journal entry processing, and assisting with reconciliations and variance investigations. The Accounting Assistant communicates regularly with internal departments and external vendors, responds to inquiries regarding financial transactions, and supports process improvement initiatives. The role requires strong communication skills, the ability to work accurately in a fast-paced environment, and consistent alignment with the mission, vision, and values of Tampa General Hospital.

Essential Functions:

  • Accurately keys data, processes routine general ledger transactions, and maintains spreadsheets in accordance with established procedures and deadlines.
  • Prepares and keys monthly journal entries as directed, ensuring completeness, accuracy, and timely submission.
  • Organizes, files, and retrieves documents and correspondence based on established departmental filing protocols.
  • Provides support for account reconciliations, including gathering documentation, verifying transactions, and identifying discrepancies.
  • Communicates professionally with departments and vendors regarding invoice status, payment questions, and account information.
  • Assists with review and research of financial variances, providing information and documentation to finance leadership.
  • Contributes ideas, engages in team meetings, and supports initiatives to enhance efficiency and accuracy within the department.
  • Assists other finance functions as needed, including routine transactional work, document preparation, and special projects.
  • Performs all tasks following established procedures, quality expectations, and organizational standards.
  • Maintains cooperative working relationships, upholds customer service standards, and supports the mission and goals of Tampa General Hospital.

Qualifications

  • High School Diploma or GED.

Technical Knowledge, Skills, and Abilities:

  • Understanding of entry-level accounting principles, general ledger concepts, and routine financial transaction processing.
  • Ability to key and process a high volume of transactions with accuracy; working knowledge of spreadsheet tools (e.g., Excel) and basic accounting software.
  • Ability to maintain accurate records, file documentation properly, and ensure completeness and accuracy in financial support activities.
  • Strong oral and written communication abilities to interact professionally with internal departments, external vendors, and hospital staff.
  • Ability to work cooperatively with coworkers, contribute to process-improvement efforts, and actively participate in department meetings.
  • Ability to assist in resolving variances, respond to changing work demands, and consider alternative approaches when issues arise.
