The Graduate School

Responsibilities

Serves on the Graduate School's Business Operations team and supports multiple functions throughout the Graduate School. Responsible for the manuscript clearing process for graduate students pursuing Masters or Doctoral, Graduate School surveys, and serves as backup for some administrative/business functions.
  • Is a member of the manuscript clearance team and is responsible for the overall student manuscript (including electronic version) clearance process for Masters and Doctoral students. This includes but is not limited to interpreting university policy and applies those interpretations in the review and advisement of the manuscript with students directly. This position advises graduate students regarding thesis, dissertation, and treatise requirements regarding publishing and copyright options.
  • Grants final clearance for all electronic submission of theses, dissertations, and treatises (ETDs). Works with ProQuest regarding the management of cleared ETDs.
  • Facilitates several surveys of graduate students. May make recommendations for program improvements for the clearance process.
  • Organizes, revises, and delivers, along with other Manuscript Clearance Advisors, the manuscript/electronic manuscript preparation workshops/training courses each term. Creates and updates materials relating to clearance on the web, Canvas, the Graduate Student Handbook, and the Graduate Bulletin. Coordinates with Director of Operations and Compliance and Sr. Graduate Policy Coordinator to update policies related to the Clearance process.
  • Develops, maintains, and periodically enhances formatting guidelines, templates, and timelines for Treatise, Thesis and Dissertation Writers. Works with departments to promote clearance training for student and applicable staff/faculty population.
  • Works with university partners to update and enhance the Manuscript Portal and revises ETD ProQuest website.
  • May act as the administrative back-up to the HR representative, PCARD proxy, travel representative, and help with walk-ins and phone calls. Other duties as assigned.

Qualifications

Bachelor's degree and two years of experience; or a high school diploma/equivalent and six years of relevant experience. (Note: a combination of post high school education and experience equal to six years.)

Preferred Qualifications
  • Knowledge of thesis, dissertation, and treatise formatting standards, electronic thesis and dissertation (ETD) processes, scholarly publishing, and copyright considerations.
  • Experience interpreting and applying university policies, procedures, and regulations while providing guidance and support to students, faculty, and staff.
  • Demonstrated experience creating and delivering training, workshops, presentations, or instructional materials.
  • Strong written communication, editing, and document review skills, with the ability to work accurately in a detail-oriented environment and ensure compliance with established guidelines and standards.
  • Experience collaborating with cross-functional teams.
  • Knowledge of digital accessibility standards, document accessibility best practices, and ADA compliance requirements for electronic documents.
  • Ability to identify opportunities for operational efficiency and implement process improvements that enhance the student experience and service delivery.

What Is a Typical Day Like?

No two days are exactly the same, but a typical day may include:
  • Reviewing theses, dissertations, and treatises for compliance with Graduate School formatting requirements.
  • Advising graduate students on manuscript requirements, submission procedures, publication options, and copyright considerations.
  • Responding to student, faculty, and staff inquiries via email, phone, and virtual or in-person meetings.
  • Granting final clearance for approved electronic thesis and dissertation submissions.
  • Updating training materials, web content, templates, and guidance documents.
  • Facilitating workshops or presentations for graduate students on manuscript preparation and submission requirements.
  • Collaborating with university partners to enhance the Manuscript Clearance Portal and ETD processes.

Anticipated Salary Range

The anticipated starting salary range for this position is in the mid-to-high $40,000s annually, commensurate with education and experience.
