Alpert JFS is looking for a strong Facilities Manager to be responsible for the Agency’s three facilities to include repairs, safety, vendor relationship and general maintenance.
Essential Responsibilities:
Vendor & Contractor Management
- Act as the primary liaison for external service providers including electricians, plumbers, landscapers, janitorial, security, fire protection, and alarm system companies.
- Supervise and coordinate on-site work of external contractors; escort vendors as required.
- Obtain quotes, review scopes of work, and manage vendor performance.
- Oversee lease relationships and manage communications with landlords or property managers for leased spaces.
Building Maintenance & Operations
- Conduct routine facility inspections and complete maintenance checklists.
- Schedule and oversee preventative maintenance (monthly/quarterly/annual) across all building systems.
- Perform basic maintenance tasks: furniture assembly/repair, minor plumbing, hanging items, touch-up painting, drywall patching.
- Identify and report major repair needs, coordinate with vendors for specialized repair work.
- Maintain and restock building-related supplies, tools, and inventory.
- Respond to emergency maintenance issues during and outside regular hours.
Health, Safety & Compliance
- Ensure compliance with OSHA and other health and safety regulations.
- Plan and lead safety and emergency training (fire drills, active shooter, etc.).
- Monitor cleanliness and safety of all indoor/outdoor facilities, including conference rooms, restrooms, kitchens, parking lots, and outdoor spaces.
- Collaborate with security vendors to maintain workplace safety and implement proper access control and monitoring.
Facilities Administration
- Track facility expenditures and assist in budgeting for facility needs.
- Review and submit invoices, track department credit card receipts, and process check requests.
- Maintain logs and documentation for all facility operations and inspections.
- Prepare reports on maintenance activities, safety incidents, equipment condition, and utility usage.
- Develop and implement protocols for seasonal or weather-related facility preparation.
Project & Event Support
- Plan and coordinate facility-related installations and refurbishments (HVAC, electrical, telecom).
- Assist with setup and teardown for internal and external company events.
- Manage storage and disposal of office furniture and supplies.
Miscellaneous Operational Support
- Drive to company locations (e.g., post office, bank, satellite offices) as required.
- Retrieve company-owned property from former employees.
Requirements:
- Bachelor’s degree or combination of education and experience.
- 3-5 years' experience in a similar capacity.
- Knowledge of methods used in maintenance including basic knowledge of the following trades: carpentry, plumbing, glass replacement, painting, masonry, grounds keeping, appliance repair, and electrical wiring; standard practices and tools used in the maintenance and repair of building facilities; safety practices and procedures related to the building trades.
- Ability to lift heavy objects and do other labor-intensive tasks.
- Excellent time management and multitasking skills.
- Great leadership and problem-solving skills.
- Experience planning and maintaining facility budgets.
- Contract handling experience.
- Excellent verbal and written communication skills.
- Proficient in Microsoft office and ability to learn work order management tool.
- Strong ability to listen and communicate effectively (verbal and written).
- Outstanding organizational and time management skills.
- Valid FL Driver’s License and good driving record
