Position Summary

The Front Desk Receptionist plays a vital role as the first point of contact for our clients, providing outstanding customer service both in person and over the phone. This position requires excellent communication skills, a professional demeanor, and the ability to multitask in a fast-paced veterinary environment. The receptionist supports the veterinary team by managing appointments, answering client inquiries, and ensuring a smooth and positive client experience.

Key Responsibilities

  • Greet clients and pets warmly upon arrival and provide a welcoming environment.
  • Answer incoming calls promptly and professionally; route calls to appropriate staff or take detailed messages.
  • Schedule, confirm, and manage appointments using the clinic’s software.
  • Handle client communications via phone, text, and email, ensuring timely responses.
  • Provide accurate information about clinic services, procedures, and policies.
  • Check clients in and out efficiently, process payments, and handle invoices.
  • Maintain up-to-date client and patient records with accuracy and confidentiality.
  • Coordinate with technicians and veterinarians to ensure smooth patient flow.
  • Manage prescription refills, follow-up calls, and appointment reminders.
  • Support administrative tasks such as filing, scanning, and inventory communication.
  • Uphold clinic cleanliness and professional appearance at the front desk area.

Qualifications

  • Experience: Prior experience in customer service or reception required (veterinary or medical field preferred).
  • Skills:
    • Excellent verbal and written communication.
    • Strong multitasking, organization, and attention to detail.
    • Ability to remain calm and compassionate during stressful situations.
    • Computer proficiency (familiarity with veterinary management software preferred).
  • Language: Bilingual (English/Spanish) preferred.
