Job Overview:


The Mobilization Team Coordinator supports the setup, maintenance, and closure of IT infrastructure for construction jobsites. This role coordinates with project teams, vendors, and internal IT stakeholders to ensure services are ordered, scheduled, documented, and completed on time. Success in this role depends on responsiveness, disciplined follow-through, and maintaining accurate tracker updates that keep jobsites moving.


RESPONSIBILITIES:


Jobsite-first execution (non-negotiable)


  • Prioritize jobsite-related work above all other tasks, and immediately address jobsite needs when they arise.
  • Operate effectively in an interrupt-driven environment while maintaining accuracy and deadlines.


Mobilization (initiation + planning)


  • Gather jobsite requirements and coordinate IT project setup packets and service requests.
  • Request vendor quotes, present options to project teams, and finalize service selections.
  • Schedule installations and confirm delivery and service dates (internet installs, site surveys, copier delivery, etc.).


Low voltage diagrams (every project)


  • Partner with the project team to produce complete low-voltage diagrams that include:
  • Trailer layout
  • Copier and check printer drops
  • Access point (AP) drops
  • Backboard location
  • Distribute finalized layouts to all relevant vendors, including low-voltage vendor and ISP.


Vendor + project team coordination (tight timelines)


  • Communicate project updates to vendors within 2 business hours (power dates, trailer delivery, permitting changes, etc.).
  • When service or delivery is scheduled, notify the project team within 2 business hours.
  • Verify completion at the end of the scheduled service window, then report status back to the vendor (e.g., Amplix) as required.


Communication SLA (responsiveness standard)


  • Respond to jobsite-related emails, Teams messages and posts, texts, and calls within 2 business hours.
  • Emails received after business hours must be responded to by 10:00 AM the next business day.
  • After lunch, respond within 2 hours of returning, with a final response no later than 4:00 PM that day.


Jobsite tracker ownership + weekly reporting


  • Maintain the Jobsite Tracker with meticulous accuracy.
  • Distribute tracker updates to ITJobsites by 10:00 AM every Tuesday.
  • Send the Action Items email by 10:00 AM every Wednesday covering Field Support + Mobilization action items, including updates from tracker sources.


Escalation protocol (phone-first)


  • Attempt phone contact first when gathering information.
  • If no response, follow up via email.
  • Allow a 48-hour response window, then reattempt contact if still no response.


Demobilization (closure + recovery)


  • Create demobilization tickets, confirm timelines, and provide equipment lists.
  • Coordinate service terminations and asset recovery, remove equipment, and update internal systems.
  • Remove jobsites from IT systems, update documentation, and close tickets.


Office maintenance + admin backup


  • Coordinate upgrades, service contracts, installations, and moves/relocations.
  • Provide backup support for credit card processing, purchasing, mileage reports, and inventory spreadsheet updates.


REQUIREMENTS:


  • Strong organizational skills and clear, professional communication.
  • Ability to manage multiple active jobsites, shifting priorities, and strict deadlines.
  • Comfort working in a high-accountability environment with SLA expectations.
  • Experience coordinating vendors and tracking deliverables through completion (construction, facilities, telecom, IT coordination, or similar).
  • Basic knowledge of low-voltage installs and internet technologies (plus).
  • Bachelor’s degree or equivalent combination of education and related experience.
