About the Position

The Case Management Intake Assistant supports the intake process for clients seeking services. This position assists case managers by handling administrative tasks, preparing intake documentation, such as incoming pre-authorization requests, scheduling appointments, and ensuring accurate client data entry. The ideal candidate is detail-oriented, customer-service driven, and passionate about helping others.


Key Responsibilities

  • Assist with the intake process by preparing forms, collecting documentation, and verifying client information.
  • Answer phone calls and respond to intake-related inquiries.
  • Schedule intake assessments and follow-up appointments.
  • Enter and update client information in case management systems and databases.
  • Maintain organized digital and paper files in compliance with privacy and confidentiality standards (HIPAA).
  • Support Case Management Manager with data tracking and reporting.
  • Help clients understand the intake process and provide referrals when needed.
  • Perform general administrative tasks such as copying, scanning, and document filing.

Job Requirements

  • High school diploma or equivalent required; Associate's degree in Human Services, Social Work, or related field preferred.
  • Must have previous medical field expertise in working in a health insurance company or HMO plan with authorizations, patient referrals and customer service.
  • Must have knowledge of ICD 10 and CPT 4 and an understanding of the healthcare forms (UB 04 and CMS 1500).
  • 3-year experience working in the field.
  • Strong organizational and multitasking skills.
  • Proficiency in Microsoft Office products and data entry.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and professionalism at all times.
  • English language is a must; other languages are a plus.
