The front desk candidate plays a vital role in our Acupuncture clinic—setting the tone for our workplace and ensuring seamless operations. If you’re organized, tech-savvy, and genuinely people-oriented, you may be the perfect fit.
What You'll Do
- Be the Face of the Organization
Greet and welcome guests, clients, and team members with warmth and professionalism, ensuring a positive first impression. - Manage Communications
Answer, screen, and direct incoming calls and emails. Assist with correspondence and support staff across departments - Keep the Front Desk in Order
Maintain welcoming and tidy reception areas and 4 treatment rooms fully stocked with necessary supplies, and coordinate treatment rooms as needed. - Support Administrative Functions
Support team member with insurance verification process, manage office inventory and supplies utilizing a practice management software, and assist with photocopying, scanning, filing, and data entry tasks. - Coordinate Schedules
Maintain appointment booking calendar, assist with logistic support, and help coordinate front-desk-related bookings.
Who We're Looking For
- Tech-Savvy
Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and comfortable with basic office equipment—printers, scanners, phones. - Organized & Detail-Oriented
Able to multitask, manage time effectively, and keep workflows running smoothly without compromising accuracy. - Excellent Communicator
Strong verbal and written communication, with a friendly, professional, and approachable demeanor . - Customer Service Champion
Warm, helpful, and adaptable in interactions — capable of handling inquiries and unexpected situations with grace.
Nice-to-Haves
- Previous experience in front desk, reception, or admin roles (1–3 years).
- Familiarity with scheduling systems, EHR systems, or process improvements .
