We are seeking a friendly, detail-oriented Referral Coordinator / Patient Communication Specialist to join our front-office team. This role is responsible for managing incoming referrals, scheduling patients, and assisting with daily phone calls to ensure a seamless and positive patient experience.

The ideal candidate thrives in a fast-paced setting, communicates clearly and professionally, and enjoys helping patients navigate their care.

Key Responsibilities

• Process incoming referrals from other offices, ensuring all necessary records and authorizations are received.
• Accurately enter patient demographics and referral details into the EMR.
• Answer incoming calls and respond to patient questions regarding appointments, referrals, and general information.
• Coordinate closely with scheduling and clinical teams to ensure timely patient appointments.
• Follow up on pending authorizations and incomplete referrals.
• Maintain organized tracking systems for referrals and call logs.
• Provide outstanding customer service to every patient and referring office.

Qualifications

• Prior medical office experience required (orthopedic or pain management preferred).
• Strong knowledge of referral workflows, insurance verification, and medical terminology.
• Excellent communication and multitasking skills.
• Proficiency with EMR systems (experience with ProviderFlow or Leading Reach a plus).
• Reliable, organized, and able to work well in a collaborative team.
• English/Spanish bilingual a plus
