Key Responsibilities

  • Support commercial real estate transactions, including Purchase & Sale Agreements and Leasing.
  • Prepare, proofread, and redline legal documents with exceptional accuracy.
  • Manage monthly client billing (paper and electronic), review pre-bills, and enter edits to timekeeper narratives.
  • Use strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) for essential legal and administrative tasks.
  • Deliver high-quality work and consistently provide outstanding client service.
  • Support attorneys throughout the life cycle of each matter, from opening to closing.
  • Communicate clearly and professionally with attorneys, clients, and colleagues.
  • Generate conflict checks and open new matters.
  • Coordinate payment of client-related vendor invoices to the correct matters.
  • Prepare attorney expense reports accurately and on time.
  • Maintain and manage attorney calendars, meetings, deadlines, and closing schedules.
  • Organize and process materials in various formats and manage electronic files in the firm's document management system.
  • Handle incoming and outgoing correspondence and mail.
  • Answer, screen, and manage telephone calls and emails professionally.
  • Schedule and coordinate video conferences and internal/external calls.
  • Respond promptly to client requests and internal communications, collaborating to resolve issues.
  • Promote teamwork, productivity, and confidentiality in all aspects of work.
  • Uphold firm standards related to attendance, punctuality, professionalism, and dress code.

Requirements

  • 3+ years of law firm experience.
  • Commercial real estate transactional experience required.
  • Excellent grammar, spelling, punctuation, and communication skills.
  • Exceptional attention to detail, strong organization, and analytical ability.
  • Ability to adapt to changing priorities while maintaining accuracy.
  • Comfortable working in a fast-paced professional environment.
  • Experience with case management and billing software; familiarity with iManage or Coyote is a plus.
  • Flexibility to work overtime as needed.
