As we continue to grow, we’re seeking a professional and highly organized Preconstruction Coordinator to support our estimating team and help drive successful project pursuits.

Position Summary

The Preconstruction Coordinator plays a critical role in supporting our preconstruction and estimating operations. This position is responsible for managing bid documents, coordinating with subcontractors and suppliers, maintaining organized project records, and ensuring that our proposals are submitted accurately and on time. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.

Key ResponsibilitiesProject Setup & Documentation

  • Maintain organized, up-to-date bid folders including plans, specifications, addenda, RFIs, and all relevant documentation

  • Ensure all project files are logically structured and readily accessible for estimating and project management teams

  • Track project progress and maintain accurate records throughout the bidding lifecycle

Bid Coordination & Scheduling

  • Schedule and prepare internal pre-bid meetings

  • Review scopes and specifications to identify deliverables, compliance items, and potential risks

  • Monitor and log all project updates and ensure they are incorporated into bid documents

Supplier & Subcontractor Communication

  • Solicit pricing and proposals across all trade scopes

  • Request and organize material takeoffs to support cost estimation

  • Ensure timely quote submissions through consistent follow-up

  • Organize and file all received proposals for easy access during bid evaluations

Historical Pricing & Bid Data Management

  • Maintain and update average pricing sheets and awarded bid logs

  • Track bid outcomes to support pricing strategies and continual improvement

  • Incorporate awarded/non-awarded data into ongoing analysis

Bid Finalization & Project Handoff

  • Prepare complete buyout packages for awarded projects

  • Finalize detailed scope sheets and ensure accuracy prior to turnover

  • Eliminate scope gaps and confirm that all project components are addressed before handoff

QualificationsRequired:

  • Minimum 3 years of experience in the construction industry

  • Proficiency with Microsoft Office Suite, particularly Excel

  • Strong ability to read and interpret construction drawings and specifications

  • Excellent organizational and communication skills

  • Ability to manage multiple deadlines and work independently

Preferred:

  • Experience with Procore or similar construction management platforms

  • Prior experience in estimating, bid coordination, or project administration

  • Associate’s or Bachelor’s degree in Construction Management, Business Administration, or a related field
