We are seeking a highly organized, proactive Medical Office Administrator to join our growing primary care and same-day access medical practice. This role is ideal for someone who thrives in a lean start-up environment, enjoys building processes from the ground up, and is comfortable wearing multiple hats as the practice grows.
As we expand our services and add additional insurance payors, the Medical Office Administrator will play a key role in ensuring smooth daily operations, excellent patient experiences, and efficient administrative workflows.
Key Responsibilities
Practice Operations

Oversee daily front-office and administrative operations in a lean, fast-paced clinical setting

Develop, implement, and refine office workflows, policies, and procedures as the practice grows

Ensure efficient scheduling for primary care and same-day appointments

Maintain office supplies, equipment coordination, and vendor relationships
Patient Experience & Front Office

Serve as the primary point of contact for patients, ensuring a warm, professional, and supportive experience

Manage patient check-in/check-out, demographics, and documentation

Address patient questions related to scheduling, billing, and office policies
Insurance & Billing Support

Assist with onboarding and management of insurance payors as the practice expands using eClinicalWorks EHR

Verify insurance eligibility, benefits, and prior authorization requirements

Support billing workflows, claims tracking, and follow-up in coordination with billing services
Financial & Administrative Support

Support cash-pay and insurance-based workflows during payer expansion

Assist with basic financial tracking, deposits, and administrative reporting

Maintain compliance with HIPAA and other regulatory requirements
Growth & Start-Up Support

Adapt quickly to evolving workflows in a start-up medical practice

Identify inefficiencies and propose practical solutions

Support practice growth initiatives, including new services and operational expansion
Qualifications

2-5 years previous experience in a medical office, primary care, or outpatient healthcare setting

Strong understanding of medical office operations, scheduling, and patient flow

Familiarity with insurance verification and basic billing processes (experience with payer onboarding necessary)

Comfortable working in a lean, start-up environment with changing priorities

Strong organizational skills, attention to detail, and ability to multitask

Excellent communication and interpersonal skills

Proficiency with eClinicalWorks EHR and standard office software
