Job Summary
The National Production & Staffing Coordinator is responsible for managing the deployment of technician crews across national productions and ensuring seamless communication between sales, production managers, and department managers to align labor resources with project demands. This role involves creating and maintaining labor schedules, managing travel logistics, maintaining a comprehensive labor resource database, and overseeing contractual agreements with technicians.
Essential Functions
While not all-inclusive, the following is a list of primary and general duties. In addition to these listed duties, this position shall also perform other tasks as assigned, shall abide by all provisions of the Employee Handbook, and shall participate in Company initiatives and projects.
Coordinate the deployment of technician crews across group-level productions.
Collaborate with sales to pre-budget labor for complex projects.
Ensure clear communication of labor assignments, schedules, and expectations.
Onsite project assistant for crew logistics and scheduling.
Create and maintain the current labor schedule for multiple projects nationally.
Maintain a national database of labor resources (employees, 1099s, and labor providers)
Manage Technician skill sets to assist in the assigning process
Negotiate and finalize contracts with technicians yearly and/ or by project as needed
Maintain NDA contracts between technicians and Live Events Productions or the Client
Review of all LE Production jobs requiring labor to identify travel needs. Communicate with Sales when the travel quoted does not match show's needs.
Book and/ or manage travel; including flights, hotels, and car rentals.
Create Purchase Orders for each contract technician by project and communicate with the contractor.
Review and approve show-related invoices from contracted technicians post-project, utilizing the schedule tracking from the Project Manager.
Work within the travel budget set for each show or obtain approval when the travel budget might be exceeded.
Develop a post-show review form to get feedback from lead technicians on the event.
Assist in other production-related tasks as necessary.
Required Education and Experience
A minimum 4-year degree from an accredited college or commensurate experience.
Ability to work in high-pressure environments and manage multiple projects simultaneously.
Familiarity with technical roles (e.g., riggers, electricians, audio engineers) and their requirements.
Familiarity with asset management software and tools
Excellent leadership, communication, and problem-solving skills.
Strong attention to detail, especially in planning and executing technical elements of productions.

Work Environment
Fast-paced, dynamic environment with tight deadlines.
Occasional travel to event sites and client meetings.
Flexibility to work evenings, weekends, and holidays as needed for event execution.
Physical Demands
The person in this role must be able to remain in a stationary position 50% of the time and must move about frequently both inside the office/warehouse or at an event venue. The person in this role will use telephone, computers, and other necessary equipment. This person in this role will be exposed to office, on-site, and warehouse environments, which fluctuate from hot to cold, and will experience loud noises at times.
Position Type/Expected Hours of Work
This is a full-time position. Hours of work are a typical workday schedule, except during high-volume sales periods when evening and weekend work will be required.
Travel
This position requires some travel–up to 40%. Travel will be a mix of local and outside the local area, with overnight stays.
