Background Check Specialist
Role Overview:
The Background Check Specialist oversees and coordinates all facets of the pre-employment screening process. Responsibilities include initiating background checks, interpreting results, managing adjudication workflows, conducting pre‐adverse and adverse action procedures, and ensuring compliance with federal, state, and local regulations—including Ban‐the‐Box jurisdictions.
Key Responsibilities:

Background Screening Coordination: Initiate candidate background checks via HireRight and monitor the process end-to-end.

Result Review & Adjudication: Analyze screening results against company adjudication criteria, prepare adjudication documentation, and escalate unclear or complex findings to legal/compliance teams.

Pre-Adverse & Adverse Action Management: Draft and distribute compliant pre-adverse/adverse notices, collaborate with Legal on jurisdiction-specific processes, track candidate responses and timelines in accordance with FCRA standards builtinsf.com+1jobzmall.com+1clearcheck.ioplusonesolutions.net.

Compliance Governance: Ensure thorough adherence to FCRA and Ban-the-Box regulations by staying current on federal, state, and local mandates.

Candidate Communication & Issue Resolution: Address discrepancies with candidates, facilitate dispute resolution, and liaise with hiring teams and third-party vendors.

Documentation & Record-Keeping: Accurately maintain records in HRIS or case management systems, including audit trails.

Policy Development & Process Optimization: Assist in creating and updating adjudication matrices, SOPs, templates, and vendor performance metrics.

Vendor Management: Monitor HireRight vendor performance, troubleshoot delays, and initiate process enhancements.
Required:

High school diploma or GED
-
Minimum 2 years in HR, compliance, or background screening roles

Knowledge of FCRA, Ban-the-Box laws, and background screening regulations
-
Exceptional attention to detail and confidentiality

Strong written/verbal communication skills

Familiarity with HRIS and background check platforms
Preferred:

Experience navigating multi-jurisdictional compliance

Direct involvement in adverse-action workflows

Basic understanding of employment law terminology
