Position Summary:
This is a position within the organization that provides highly detailed and complex administrative and programmatic support to the Director of Head Start/EHS, assisting in the coordination of all services related to the Head Start, Early Head Start and other regulatory bodies within the Head Start/Early Head programs. Incumbent in this position demonstrate sensitivity to the service population’s cultural and socioeconomics characteristics.
Duties and Responsibilities:
- Assist the Head Start/ EHS Director and operations in the planning, direction, and administration of all aspect of the Head Start and Early Head Start programs.
- Assist in compiling information needed for presentations and reports.
- Collect and aggregate monthly and quarterly funding sources reports of the Head Start programs, such as attendance reports, ROMA, VPK, Over-Income reports, Child Plus, Food Program, among others.
- Maintain integrity of ChildPlus data system with current information at all times.
- Keep and maintain a filing system including copies of all pertinent internal and external agency documents, program contract and grant applications.
- Prepares agendas and meeting packets for Policy Committee meetings and other Head Start Administration meetings.
- Responsible for attending Division meetings, preparing agenda and keeping minutes on a timely manner.
- Assist in the preparation and submission of the annual VPK-SR contracts.
- Assist in the preparation and submission of the Head Start annual PIR report.
- Work closely with the supervisor to facilitate the implementation of the Easter Seals policies and procedures and to ensure programs compliance with the Head Start/Early Head Start Performance Standards and others regulatory body.
- Produce aggregated Child Plus report as requested by Head Start or any other report as requested by any funding.
- Works in coordination with the programs and Easter Seals administration staff in completion of the Head Start/Early Head Start self-assessment.
- Completes purchase orders by sites and allocations according to pertinent guidelines and procedures within the approved budget to endure maximization of funding.
- Responsible for mailing out office and inter- office correspondence, reports, proposals, among others and distribute incoming mail.
- Attend staff meetings, seminars, and trainings as recommended by supervisor and to comply with funding sources mandates.
- Responsible for scheduling division and program staff out of town travel and prepares necessary documentation for approval.
- Type all correspondence, reports, newsletters, forms and other work for the Division.
- Acts as Liaison for the Early Learning Coalition and the VPK Program.
Child Care Food Program:
- Coordinates Register Dietitian Consultant.
- Checks and approve menus, special diets.
- In charge of training food handlers.
- Monitors CCFP compliance at all Centers.
- Acts as liaison between County and Agency.
Physical Demands:
- The work is in an office setting. Although, the majority of the work is sedentary while conducting intakes, telephoning clients, maintaining client files and preparing reports, all employees may be exposed to the following physical demands.
- Regular to frequent requirement, and as needed, to lift children (up to 50 lbs.), including bending, stooping, stretching, walking, squatting, pushing, pulling, kneeling, crawling, sitting on low chairs or on the floor.
- In order to conduct classroom activities and interact with children in a meaningful way, the employee can be expose to the following:
- Noise level can be moderate to loud.
- Detecting unsafe situations by sight or sound.
- Moving quickly to intervene in unsafe situations.
Educational & Experiential Requirements:
- Associate degree required.
- A minimum two (2) years related work experience.
- Head Start/Early Head Start working experience preferred.
- 45 DCF training hours preferred or within 1 year of hire.
- Bilingual preferred (Spanish & English).
- Ability to effectively communicate, verbally and written, with a diversity population.
- Strong computer skills. Proficiency with Microsoft Office applications.
- Ability to work under pressure, maintain accuracy and meet deadlines.
- Ability to work with staff, participants and the public in a professional and concerned manner.

- Work a flexible schedule as required.
- Other related duties as necessary to ensure the smooth running and efficiency of Easter Seals South Florida as a whole.
- Successful completion of background process which includes: Local background check, Level 2 clearance (FBI, FDLE), clear TB test, medical clearance, drug test and reference checks.
