We are currently seeking a detail-oriented and tech-savvy Administrative Assistant to join our team, with specific responsibilities supporting our Managing Partner.
Key Responsibilities:
- Provide comprehensive administrative support to attorneys, including scheduling appointments, managing calendars, and coordinating meetings.
- Maintain and organize client files and case management systems, ensuring efficient electronic filing and retrieval.
- Answer phone calls, respond to inquiries, and provide excellent customer service to clients.
- Assist with billing and invoicing processes using accounting software.
- Utilize various office technologies and software to streamline operations and improve efficiency.
- Perform general office duties, including managing office supplies and equipment.
- Serve as the primary point of contact for the Managing Partner, managing his calendar and scheduling meetings with clients, attorneys, and staff.
- Prepare and organize materials for meetings, including agendas, presentations, and reports.
- Conduct research and compile information for special projects and client matters as directed by the Managing Partner.
- Assist with the preparation of performance reviews, reports, and other administrative documents for the Managing Partner.
- Coordinate travel arrangements and manage expense reports for the Managing Partner.
Qualifications:
- High school diploma or equivalent; associate’s or bachelor’s degree preferred.
- Previous experience in an administrative or executive assistant role, preferably in a law firm or legal environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal management software.
- Strong familiarity with technology, including cloud-based document management systems and electronic filing tools.
- Excellent organizational skills and attention to detail.
- Outstanding verbal and written communication skills.
Ability to handle confidential information with discretion.
