Job Overview:
The Receptionist / Administrative Assistant is responsible for managing front desk operations while providing administrative support to managers in the Administration department and assisting the Human Resources team with tasks. This position plays a key role in maintaining the efficiency of daily office functions, including visitor management, calendar coordination, and HR-related support. The role requires strong organizational skills, attention to detail, and the ability to handle multiple responsibilities in a professional manner.
ESSENTIAL RESPONSIBILITIES & DUTIES
Reception Duties:
- Greet and assist visitors in a professional and courteous manner.
- Answer and direct incoming telephone calls.
- Maintain a welcoming reception area.
- Handle incoming and outgoing mail and deliveries.
Administrative Support:
- Maintain and coordinate the calendars of administrative managers.
- Schedule meetings, prevent scheduling conflicts, and ensure timely updates to calendars.
- Assist with meeting logistics, including room reservations and preparation of materials
- Provide general administrative assistance as required.
HR Support:
- Support the HR department with administrative tasks such as document organization and event logistics
- Assist with internal communications and coordination of employee events and orientation sessions.
Qualifications:
- High school diploma or equivalent required; associate or bachelor's degree preferred.
- Minimum of 2 years of experience in a receptionist, administrative, or office support role.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Experience with calendar management and scheduling tools.
- Bilingual - English and Spanish
