Job DescriptionThe Refresh & Leasing Coordinator is a critical member of Future Tech’s PC-as-a-Service (PCaaS) delivery team. This role ensures seamless management of device refresh cycles and leasing processes, leveraging ServiceNow to streamline requests, approvals, deployments, and returns. The coordinator works cross-functionally with Program Management, Procurement, Warehouse, Configuration, and Customer Success teams to ensure that end-user experiences are simplified while maximizing cost savings, redeployment, and compliance.

This position requires exceptional organizational skills, attention to detail, and the ability to balance customer requirements with operational execution.

This is a U.S.-based remote position. The work hours are from 9:00a -5:00p Eastern time. Our benefit offerings include Medical, Dental, and Vision Insurance, 401k with Compnay match and PTO.

This position has responsibilities that include working with a government contractor; therefore, U.S. citizenship is required.

Key Responsibilities
Lease Management & Coordination

• Track lease start dates, end dates, and renewal windows; ensure proactive communication with end users before lease expiration.
• Coordinate scheduling and logistics for device replacements in alignment with lease end-of-life.
• Manage return processes for lease-expired devices, including communication, shipping coordination, and reconciliation with leasing vendors.
• Monitor and prioritize redeployments of lease returns to maximize customer savings and reduce procurement costs.
• Support lease reconciliation activities, validating vendor records against ServiceNow and internal ERP (S2K) data.

Refresh Program Execution

• Oversee onboarding, offboarding, and refresh request workflows through ServiceNow.
• Ensure refresh tickets are processed on time, correctly routed, and aligned with role-based device/software standards.
• Coordinate inventory allocation based on customer policy and device availability.
• Track and report refresh program KPIs including redeployment rates, on-time replacement, and cost avoidance.

ServiceNow Process Management

• Serve as the primary operator for leasing and refresh workflows within ServiceNow.
• Ensure accurate and timely updates to customer CMDBs, HAM Pro, or other asset management tools.
• Manage integration of refresh/leasing workflows with ERP and other connected systems.
• Identify and escalate process gaps; recommend automation or workflow improvements.
• Inventory & Reporting
• Maintain accurate departmental inventories of leased and customer-owned devices.
• Generate reports from ServiceNow, SCCM/MECM, or other desktop management tools.
• Produce monthly dashboards of refresh and leasing activity, including redeployment savings, compliance, and SLA attainment.
• Conduct post-deployment follow-ups, surveys, and lessons-learned reviews.

Qualifications

• 2+ years of experience in IT asset management, leasing, logistics, or related coordination roles (PCaaS experience strongly preferred).
• Familiarity with IT Service Management tools, particularly ServiceNow (HAM Pro experience a plus).
• Knowledge of IT lifecycle management: procurement, refresh, redeployment, and disposal.
• Strong organizational skills with the ability to manage multiple parallel schedules.
• Excellent written and verbal communication skills for coordinating across technical teams and customer stakeholders.
• Proficiency in Microsoft Excel and reporting dashboards.
