PRODUCTION SPECIALIST
Job Summary
The Production Specialist is responsible for supporting the production and operations team by ensuring accurate reconciliation of billing for work performed by field personnel and timely invoicing of customers. This role requires strong attention to detail, organizational skills, and the ability to work cross-functionally with field supervisors, project managers, and accounting to ensure that billing is accurate, complete, and delivered on schedule.
Minimum Required Qualifications
- Ability to meet background requirements.
- Knowledge of the telecommunications or cable industry preferred.
- Strong knowledge of Microsoft Office software, including Excel.
- Ability to read, write, speak, and understand English.
- Prior experience in billing, invoicing, or administrative support (construction or telecom industry experience preferred).
- Excellent organizational skills and attention to detail.
- Ability to work in a team atmosphere and communicate effectively across departments and with customers.
- Ability to handle multiple projects and meet deadlines in a fast-paced environment.
- Ability to maintain confidentiality in handling sensitive information.
- Ability to analyze and interpret data and effectively present information.
- Strong problem-solving skills with the ability to make decisions and collaborate with others under pressure.
- Ability to prioritize and organize effectively while showing initiative and sound judgment.
- Proactive and able to follow through on assignments with minimal supervision.

Major Duties and Responsibilities
- Consistently perform duties and responsibilities according to production and quality standards.
- Create, update, modify, re-status, and cancel projects, tasks, and codes within the project management and billing system.
- Review, reconcile, and validate field personnel’s daily and weekly production against job records and reporting.
- Review and approve billing submitted by contractors, employees, and supervisors, returning for correction as needed.
- Prepare, generate, and submit accurate customer invoices in accordance with contract terms and customer requirements.
- Understand closeout documents and supporting backup required to submit invoices to the customer.
- Understand and apply customer job codes, usage rules, and required documentation.
- Ensure documentation for items outside the scope of work (SOW) is entered correctly into systems (rock adder, flagging, traffic, materials, etc.).
- Track projects using spreadsheets and internal reporting tools.
- Submit customer invoicing, funding requests, and required documentation through customer systems and processes.
- Effectively communicate with customers on an ongoing basis to address billing and documentation needs.
- Read and update construction maps and as-builts as needed by the business.
- Maintain accurate billing records and documentation for audits, project closeouts, and customer inquiries.
- Additional responsibilities may arise as dictated by the customer or leadership.
