Position Summary

The Coaching Coordinator plays a key role in supporting the coaching team and driving forward momentum across advisor engagement, communication, scheduling, and project execution. This person will partner directly with coaches and internal stakeholders to manage day-to-day operations, ensure seamless calendar coordination, handle pre- and post-call logistics, and maintain accurate documentation in Salesforce. The ideal candidate is detail-oriented, tech-savvy, and thrives in a fast-paced, collaborative environment. Minimal travel is required.


Key Responsibilities

  • Act as the primary operational support for the coaching team, owning calendar management and scheduling in Salesforce and Outlook.
  • Manage incoming and outgoing calls with a warm, professional phone presence; handle proactive follow-up and call recaps.
  • Initiate outbound calls to promote upcoming webinars, coaching academies, and events, driving awareness and participation.
  • Utilize dictation software (e.g., CopyTalk, Jump App) to transcribe notes and ensure timely communication post-session.
  • Draft and send post-call emails and follow-ups, both manually and through automation tools.
  • Catalog all communication accurately in Salesforce; maintain up-to-date records and ensure thorough documentation for each advisor interaction.
  • Run communication and performance reports in Salesforce to support departmental visibility and success metrics.
  • Support travel, seminar, and event logistics, including hotel bookings, transportation coordination, and supply tracking.
  • Provide administrative support, including preparing documents, creating team resources, and managing project timelines.
  • Coordinate internal meetings and logistics, prepare agendas, and distribute recaps and action items.
  • Identify opportunities to improve processes and anticipate team needs with a proactive, solutions-oriented mindset.
  • Represent the coaching team with professionalism in all interactions, both internally and externally.

Requirements:Must-Have Qualifications

Experience

  • Backgrounds in real estate, financial services, administrative or executive coordination, or banking (e.g., service desk) are highly valued.
  • Excellent written and verbal communication skills, with white glove service.
  • High level of autonomy and initiative—must be able to drive tasks forward independently.

Education:

  • High school diploma required; higher education is a plus

Technology Expertise:

  • Knowledge of Microsoft Office Suite, particularly Outlook.
  • Proven ability to catalog data, run reports, and track communication metrics in CRM systems.
  • Familiarity with dictation tools (CopyTalk, Jump App) and email automation tools preferred.

Physical & Work Environment Requirements

  • Ability to work for extended periods at a desk using a computer.
  • Ability to lift up to 10 pounds if/when necessary.
  • Routine use of telephone and email.
  • Office-based role with potential travel to conferences, events, and satellite offices as needed.
