Litigation Legal Assistant – Miami, FL
Ascension Global Staffing & Executive Search
Ascension Global Staffing & Executive Search is seeking an experienced Litigation Legal Assistant to support a reputable and fast-paced law firm’s Litigation Practice Group in their Miami office. The ideal candidate will have a strong background in defense litigation, excellent organizational skills, and the ability to manage multiple priorities while supporting several attorneys.
Essential Functions:
- Collaborate with various firm departments and manage multiple administrative responsibilities, including case openings, conflict checks, billing, records, and related tasks.
- Demonstrate strong knowledge of Federal and State court rules and procedures, including calculating and calendaring deadlines.
- Schedule hearings, meetings, and appointments in coordination with attorneys.
- Draft, edit, and proofread correspondence, pleadings, and other legal documents with high accuracy.
- Track firm, attorney, and client expenses; process reimbursements and payments using internal software.
- Assist with client billing, including entering narratives, tracking billable tasks, making edits, and preparing bills for delivery in electronic and paper formats.
- Manage electronic and physical case files, ensuring organization and accessibility.
- Handle incoming and outgoing mail, emails, and phone calls; screen, route, and place calls as needed.
- Maintain regular attendance and punctuality in the workplace.
- Perform additional duties as assigned.
Skills & Technology Requirements:
- Minimum 5 + years of law firm experience as a defense litigation legal assistant, with extensive Federal and State court experience.
- Experience supporting multiple attorneys simultaneously.
- Ability to work efficiently under pressure, meet tight deadlines, and manage high-volume workloads.
- Strong attention to detail, initiative, and follow-through.
- Excellent verbal and written communication skills, with the ability to clearly convey information to attorneys, staff, and clients.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
- Experience with legal case management and billing software required.
- Knowledge of iManage, SmartTime, and Aderant is highly preferred.
