We are seeking a highly organized and proactive individual to join our team as a Surgical Scheduler /Operations Support Specialist. This hybrid role combines the responsibilities of coordinating surgical scheduling with providing essential operational support to ensure the smooth daily functioning of our office.

Job Summary:
The Surgical Scheduler & Operations Support Specialist will serve as the central point of coordination between patients, surgeons, hospitals, and staff. This position ensures that surgical cases are scheduled accurately and efficiently, while also supporting overall office operations and staff needs. The ideal candidate will be detail-oriented, customer-service driven, and skilled at managing multiple priorities in a fast-paced medical practice.

Key Responsibilities:

Surgical Scheduling

  • Schedule and coordinate surgeries for three surgeons across multiple hospital and surgical center locations.
  • Communicate with patients regarding pre-operative requirements, instructions, and follow-up appointments.
  • Obtain insurance authorizations, referrals, and clearances as required.
  • Confirm surgery details with hospitals, surgical facilities, and anesthesia teams.
  • Maintain accurate documentation of all scheduling activities in the patient’s chart.
  • Ensure all surgical documentation is completed and submitted in compliance with hospital and practice requirements.

Operations Support

  • Answer and manage incoming phone calls, directing them appropriately and providing excellent patient service.
  • Provide administrative support to physicians and staff to ensure efficient daily workflow.
  • Handle medical records requests, ensuring timely and HIPAA-compliant processing.
  • Assist with onboarding new employees, providing guidance on office procedures and operations.
  • Support inventory management, supply ordering, and maintaining an organized office environment.
  • Troubleshoot office-related issues and help resolve staff concerns.

Qualifications:

  • Previous experience as a surgical scheduler in a medical office or hospital setting strongly preferred.
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and familiarity with medical office software (EMR/EHR).
  • Knowledge of insurance authorizations and surgical clearance processes.
  • Ability to thrive in a collaborative, fast-paced environment with attention to detail.
