SCOPE OF RESPONSIBILITIES

A nonexempt position responsible for welcoming patients to the clinic and checking patients in.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. While this is intended to be an accurate reflection of the current job, management reserves the right to revise the job or to require that other or different functions be performed when circumstances change or exigencies require (this includes but is not limited to emergencies, changes in personnel, workload, rush jobs, or technological developments).

  1. Responsible for welcoming patients and visitors in a friendly, courteous, and caring manner.
  2. Checking in and verifying that all information in demographics, including insurance information, are correct.
  3. Collecting payments.
  4. Maintaining the reception area in an organized fashion.
  5. Preparing charts for the next clinic day.
  6. Ensuring all forms and patient information are input into the system.
  7. Completing recalls for the week
  8. Completing FMLA in a timely manner
  9. Prepping H&P Packets for the following week
  10. Completing MRI Auths in a timely manner
  11. Printing and distributing Fax Folder Daily
  12. Filtering tasks. Completing or reassigning as necessary
  13. MA on Call for urgent calls
  14. Returning patient calls in a timely manner.
  15. Scanning
  16. Reviewing schedule for the following week
  17. Assisting within the office as needed
  18. Traveling to all other locations when needed
  19. Assisting in clinic as needed
  20. Communicates with other team members in clinical and clerical areas to provide a successful patient centered practice.
  21. Other duties as assigned.

NTIAs may be assigned.

EDUCATIONAL REQUIREMENTS

  1. High School diploma, GED or equivalent
  2. BLS Certificate
  3. RMA Preferred

EXPERIENCE/OTHER REQUIREMENTS

  1. 1 year of relevant call center or medical experience preferred.
  2. 1-2 years of customer service required.
  3. 1 year of medical terminology preferred.
  4. Ability to problem solve as well as critical thinking.
  5. Proficient in professional and effective communication skills
  6. Demonstrate a strong attention to detail and thoroughness.
  7. Effectively utilize available relevant technical tools and resources (e.g. Microsoft, Outlook)

KNOWLEDGE

  1. Knowledge of medical terminology.
  2. Knowledge of the health care field.
  3. Knowledge of legal and ethical considerations related to patient information.
  4. Knowledge of counseling, conflict resolution, and customer service principles and applications.
  5. Knowledge of Insurance and/or experience with verification of insurance eligibility

SKILLS & ABILITIES

  1. Skill in putting information in preferred medical record system, meeting clinic standards.
  2. Skill in diffusing tense situations through diplomatic problem-solving.
  3. Skill in using computer and medical records software.
  4. Skill in reading and following written and oral medical order.
  5. Skill in handling several tasks simultaneously.
  6. Skill intact and diplomacy in interpersonal interactions.

  1. Ability to communicate effectively with patients and staff via phone, in person and through email.
  2. Ability to demonstrate leadership in resolving patient concerns.
  3. Ability to establish relationships with a wide variety of people.
  4. Ability to communicate calmly and clearly with providers and employees.
  5. Ability to communicate calmly and clearly with providers and employees.
  6. Ability to establish and maintain effective working relationships with coworkers and diverse patient populations.
  7. Ability to work with computer and effectively use electronic medical records (EMR).
  8. Ability to work under pressure.
  9. Ability and willingness to travel between offices on occasion is required

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

Standing six to eight hours per day walking, stooping, bending, and maneuvering. Occasional stress from dealing with many staff and patients. May require lifting to 50 pounds to transfer and or assist a patient in standing on the scale or sitting on the exam table.
