Overview

Law Firm is seeking a compassionate, detail-oriented Intake Specialist to serve as the first point of contact for potential clients. This role is essential to shaping each caller’s initial experience with our firm and ensuring that all relevant facts are gathered efficiently, accurately, and with empathy. Prior experience in customer service, social work, teaching, counseling, or other client-facing roles may be beneficial. Fluency in Spanish is also a plus.

Key Responsibilities

· Serve as the first line of communication for all prospective clients via phone, email, and online inquiries.

· Conduct structured intake interviews by phone, Zoom and/or in-person to gather detailed information regarding potential cases.

· Document all client details accurately and comprehensively within the firm’s case management system and in accordance with established SOP’s.

· Identify urgency, red flags, and case type for proper routing to attorneys or management.

· Demonstrate patience, empathy, and professionalism in all client interactions.

· Explain next steps clearly to potential clients and help set expectations.

· Maintain confidentiality and comply with all legal-ethical requirements.

· Collaborate with attorneys, paralegals, and administrative staff throughout the intake process.

· Participate in training and skill development activities.

· Represent the firm with positivity, open-mindedness, and a solutions-oriented attitude.

· Organize and track all new cases roughout the intake process

· Communicate clearly and regularly with potential clients and referral attorneys

· Assist management in identifying intake trends and opportunities for improvement

· Prepare documents necessary to the intake process
