Inspections

  • Provide scheduling times for inspections of new leads on the same day to the production assistant.
  • Ensure timely communication and coordination for inspection appointments.
  • Arrive at the inspection on time, in case of unavailability, communicate promptly with the client in advance.

Performing the Inspections

  1. Ask about any previous leaks and their locations.

2. Start the inspection (moisture map) from the identified leak point and extend the inspection to all adjacent and attached walls and ceilings.

3. If no leaks are detected, examine the area for potential reasons for mold growth.

4. Provide the client with a comprehensive visual examination of the area of concern, its systems, and its components.

5. Include in Inspection Results:

  • Humidity measurements.
  • Visible moisture intrusion points.
  • Visible water damage.
  • Musty odors.
  • Visible microbial growth.
  • Conditions conducive to mold growth.
  • A/C conditions.
  • Windows and SGD (Sliding Glass Doors) conditions.

Inspection Findings

After conducting the inspection, we aim to offer the client one of two alternatives:

  • In cases where we lack sufficient information to propose a solution, we communicate the inspection findings to the client, accompanied by environmental recommendations. This empowers them to engage an environmental company for a comprehensive mold report.
  • Utilize the hygienist recommendations email template to send to the client.
  • If we determine that we possess adequate information, we furnish a remediation proposal derived from a visual inspection.

Estimates

Key Information Requirements:

  1. Determine the necessary manpower and duration for job completion.
  2. Identify any removal needs, such as cabinets, countertops, floors, doors, door frames, A/C air handler, water heater, shower, shelves, appliances, mirrors, etc., after accessing affected building materials.
  3. Assess the quantity of content within the unit or space.
  4. Strategically design containments for optimal efficiency, ensuring prompt and satisfactory job completion.
  5. Evaluate accessibility to the building and unit.
  6. Confirm parking availability.
  7. Estimate the quantity of materials required for the project.
  8. Identify any potential need for external vendors to fulfill project requirements.
  • Based on inspection findings or a mold report, develop a budget and proposal, considering all the above factors.
  • Typically, a written proposal is prepared; however, if insurance is involved, the client may request an Xactimate line-item estimate.

Sending Estimates to Clients:

  • Once the proposal is finalized, we dispatch it to the client through email.
  • This process is completed within a 24-hour timeframe from inspection.

Responding to Client Questions:

  • If the client raises any inquiries about the scope of work outlined in the proposal, it is crucial to address these questions promptly and efficiently.
  • In many instances, project approval hinges on our direct and effective communication with the customer.

Phone and Email Communication Policy:

  • Adhering to company policy, we commit to responding to phone calls and email communications within a two-hour window.

Acquiring Necessary Documentation Before Scheduling Mold Jobs:

Dealing with Associations:

  • Obtain a signed proposal from the PM or board members.
  • Secure a 50% deposit or a signed Non-Down Payment Agreement from the PM or board members after slotting the job into the schedule.

Working with Homeowners:

  • Obtain a signed proposal from the PM or board members.
  • Secure a 50% deposit after incorporating the job into the schedule.

Upon Approval of the Job

  • Before initiating the project, it is imperative to ensure that both the association and/or resident are fully informed about the project's scope.
  • Accordingly, we dispatch the "WHAT TO EXPECT" document for their review, ensuring that the unit and resident are well-informed and in agreement with the anticipated process and outcomes.
    • Following all mold remediation procedures, conduct post-testing to ensure the area meets acceptable standards.
    • Although testing is recommended, it remains optional for the client.
    • If the client opts not to perform testing, we provide a Certificate of Satisfaction with No Post-testing, releasing WRG from further liability.
    • Upon obtaining signed documentation or clearance from the environmental company, proceed to schedule equipment and/or containment pick-up.
      1. Removal of A/C or water heater.
      2. Cleaning of ducts and coils.
      3. Labor services contingent on production availability.
      4. Plumbing work as deemed necessary. It is essential to coordinate with the production department to ascertain their availability after proceeding.

        Engaging Contract Vendors

        Depending on the defined scope of our work, we will reach out to our vendors for their specialized services. Typically, for mold remediation, the required services include:

      Following the completion of these services, it is crucial to promptly furnish the accounting department with the corresponding invoices for each visit.

      Project Management Guidelines

      Throughout the Project:

      1. Determine the daily staffing requirements.
      2. Establish the expected duration of the project.
      3. Identify necessary materials and equipment.
      4. Provide the production department with daily updates on the above information.
      5. Furnish the crew chief with comprehensive details about the scope of work.
      6. Conduct at least two on-site visits per project for supervision.
      7. Maintain direct communication with the team to authorize any necessary tasks.
      8. Ensure team members adhere to all safety procedures.
      9. If additional scope of work is required, promptly inform the client, and provide appropriate documentation.
      10. For any change orders, secure approval after executing the specified scope of work.
      11. Confirm that the project is completed and the area is prepared for post-testing verification.

      Post-Testing Verification

    • Verify, approve, and/or correct team hours daily based on information received from the accounting department.

      Systems Maintenance

      • Document all the above in Dash and Encircle, including proposals, amounts, emails, budgets, pictures, important information, and documents.

      Profit and Loss (P&L) Report

      • Prepare a P&L report monthly for accounting purposes, utilizing a template filled out with the total project amount charged versus expenses.
      • Regularly update the work-in-progress report daily, accessible on the Production share Folder for team access.
      • Include new projects with their corresponding percentage of completion.
        • Maintain continuous communication with clients through phone and email throughout the project.
        • Provide daily progress reports every morning and/or afternoon to keep clients updated.

          Keeping Clients Informed

        Work in Progress (WIP) Report:

      • Regularly update the work-in-progress report daily, accessible on the Production share Folder for team access.
      • Include new projects with their corresponding percentage of completion.

      Team Hours Verification

    • Verify, approve, and/or correct team hours daily based on information received from the accounting department.
    • Systems Maintenance
    • Document all the above in Dash and Encircle, including proposals, amounts, email, budgets, pictures, important information, and documents.

QUALIFICATIONS

Technical Qualifications:

  • Knowledge of MS Office, databases, and spreadsheets.
