Role Summary
The Patient Care Coordinator (PCC) is the face of our center and plays a key role in creating an exceptional patient experience from check-in to check-out. This position blends front desk operations, patient education, and sales support in a fast-paced medical aesthetics and wellness environment.

Key Responsibilities

Patient Experience & Customer Service

• Greet patients warmly and create a welcoming, professional environment
• Manage check-ins, check-outs, and patient questions with confidence
• Clearly explain aesthetic and wellness services, memberships, and promotions
• Ensure all required paperwork and consents are completed prior to treatment

Scheduling & Administrative Duties

• Schedule, confirm, and rebook appointments while optimizing daily flow
• Manage waitlists and handle scheduling changes efficiently
• Maintain accurate patient records in the EMR system while ensuring HIPAA compliance
• Support front desk inventory and supply needs

Sales, Rebooking & Retention

• Promote memberships, loyalty programs, and recommended services
• Upsell services and products when appropriate
• Partner with providers to drive rebooking, retention, and patient satisfaction

Core Skills & Qualifications

• Exceptional customer service and communication skills
• Strong multitasking, organization, and attention to detail
• Comfort working in a fast-paced, high-touch environment
• Ability to confidently discuss aesthetic and wellness treatments

Experience & Preferences

• 3+ years of medical spa experience is a plus
• Zenoti software experience is a plus
• Prior experience with EMR/scheduling systems preferred
