Role Summary
The Patient Care Coordinator (PCC) is the face of our center and plays a key role in creating an exceptional patient experience from check-in to check-out. This position blends front desk operations, patient education, and sales support in a fast-paced medical aesthetics and wellness environment.
Key Responsibilities
Patient Experience & Customer Service
- Greet patients warmly and create a welcoming, professional environment
- Manage check-ins, check-outs, and patient questions with confidence
- Clearly explain aesthetic and wellness services, memberships, and promotions
- Ensure all required paperwork and consents are completed prior to treatment
Scheduling & Administrative Duties
- Schedule, confirm, and rebook appointments while optimizing daily flow
- Manage waitlists and handle scheduling changes efficiently
- Maintain accurate patient records in the EMR system while ensuring HIPAA compliance
- Support front desk inventory and supply needs
Sales, Rebooking & Retention
- Promote memberships, loyalty programs, and recommended services
- Upsell services and products when appropriate
- Partner with providers to drive rebooking, retention, and patient satisfaction
Core Skills & Qualifications
- Exceptional customer service and communication skills
- Strong multitasking, organization, and attention to detail
- Comfort working in a fast-paced, high-touch environment
- Ability to confidently discuss aesthetic and wellness treatments
Experience & Preferences
- 3+ years of medical spa experience is a plus
- Zenoti software experience is a plus
- Prior experience with EMR/scheduling systems preferred
