This is an in-office Monday-Friday 8:30 am-5:30 pm position
We are seeking a highly organized and client-focused Intake Specialist to join our team. This role is essential in ensuring potential clients receive excellent service from the first point of contact. The ideal candidate will be skilled in client communication, data entry, and scheduling, with the ability to assess client needs and guide them through the intake process efficiently.
Compensation:
$18 - $22 per hour
Responsibilities:
- Perform intake for the Estate Planning, Medicaid, and Probate departments.
- Answer incoming calls, ask fact-finding questions, and assess caller needs based on internal protocols.
- Screen out unqualified leads and schedule qualified potential new clients (PNCs) for initial consultations.
- Provide excellent client service by establishing rapport, using appropriate tone, and demonstrating empathy.
- Calendar consultations for Attorneys and Sales Associates, following internal scheduling processes.
- Coordinate Zoom consultations and conference calls between PNCs and Attorneys or Sales Consultants as needed.
- Ensure a high appointment show-up rate by following confirmation procedures (emails, texts, calls).
- Perform data entry into our internal CRM for new leads and non-hired prospects, documenting actions and outcomes.
- Create hard-copy file folders, including printing necessary documents and internal forms for scheduled consultations.
- Funnel new qualified leads into the sales pipeline through follow-ups via email, phone, and other communication methods.
- Track key performance metrics (monthly and quarterly) to ensure company goals are achieved.
- Perform additional tasks as assigned to support intake and client service operations.
Qualifications:
- Minimum of 2 years of administrative experience in a professional office setting required.
- Strong communication skills with the ability to build rapport and handle sensitive client situations.
- Excellent oral, verbal, and written communication skills.
- Strong organizational and time management skills with the ability to prioritize effectively.
- High level of accuracy and attention to detail.
- Experience with CRM software and data entry.
- Ability to work in a fast-paced, client-focused environment.
- Prior experience in a legal, sales, or client service role is a plus.
