We are seeking an experienced Pre-Litigation Coordinator with Personal Injury experience to join our Boca Raton office in a hybrid capacity.

Position Overview:

The Pre-Litigation Coordinator will play a critical role in managing personal injury matters prior to formal litigation, including auto accidents, slip and falls, and other negligence claims. This position requires strong organizational skills, attention to detail, and the ability to manage a high-volume caseload while maintaining regular client communication. The hybrid schedule offers flexibility while ensuring effective collaboration with attorneys and staff.

Key Responsibilities:

  • Serve as the primary point of contact for personal injury clients, insurance adjusters, medical providers, and internal legal teams during the pre-litigation phase.

  • Open, maintain, and manage personal injury pre-litigation files, including data entry, document organization, and case tracking.

  • Draft and send personal injury demand packages, routine correspondence, and legal notices to insurance carriers.

  • Request, review, and organize medical records, medical bills, police reports, and insurance documentation.

  • Coordinate with attorneys to evaluate liability, damages, and treatment status.

  • Track medical treatment, liens, and letters of protection (LOPs).

  • Schedule client appointments, recorded statements, mediations, and settlement discussions.

  • Conduct preliminary investigations related to liability and damages.

  • Monitor and follow up on insurance claims, settlement negotiations, and deadlines.

  • Maintain accurate and compliant case files in accordance with firm policies and Florida personal injury requirements.

  • Prepare case summaries, settlement breakdowns, and reports for attorneys and management.

Qualifications:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Legal Studies, Paralegal Studies, or related field preferred.

  • Minimum of 2 years of experience in personal injury pre-litigation (Florida PI experience strongly preferred).

  • Spanish-speaking ability and prior leadership experience are considered beneficial qualifications for this role.
  • Working knowledge of Florida personal injury law, insurance claims processes, and pre-suit procedures.

  • Experience handling medical records, bills, liens, and insurance correspondence.

  • Strong organizational and multitasking skills with exceptional attention to detail.

  • Excellent written and verbal communication skills with a client-focused approach.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal case management software.

  • Ability to work independently and collaboratively in a hybrid work environment.
