We’re looking for a skilled Community Association Manager to oversee daily operations, supervise staff, and maintain compliance with Florida statutes and community governing documents. You’ll be the key on-site leader partnering with Boards, residents, vendors, and office teams to ensure a well-managed, thriving community.
Key Responsibilities
- Oversee day-to-day property operations, including maintenance, inspections, and vendor management.
- Enforce governing documents, covenants, and Florida statutes.
- Prepare and manage budgets, review financial reports, and assist with capital planning.
- Serve as the main liaison between Boards, homeowners, vendors, and staff.
- Organize and attend Board and association meetings, preparing reports, minutes and follow-ups.
- Manage contracts, bids, and project oversight for maintenance and improvements.
- Utilize property management software (Appfolio preferred) and Microsoft Office for documentation and communication.
- Lead, train, and coordinate on-site staff as needed.
Maintenance & Property Operations
- Supervise the Maintenance Supervisor; coordinate daily maintenance tasks, work orders, repairs, and large projects.
- Conduct regular property inspections to identify maintenance needs, violations, and community concerns.
- Communicate with residents about maintenance schedules, access, and updates.
- Provide updates to the Board, L-CAM, and office staff on work order and project status.
Resident & Compliance Communication
- Supervise Front Desk/Office Manager; assist with front desk duties as needed.
- Serve as first point of contact for residents’ maintenance issues, complaints, and general inquiries.
- Enforce community rules, issue violation notices, and coordinate fines or further action.
- Maintain accurate communication records and ensure timely follow-up.
Vendor & Project Coordination
- Work alongside Maintenance Supervisor to coordinate site visits, collect estimates, schedule projects, and maintain records for Board review.
Financial & Accounting Support
- Manage weekly accounts payable; review invoices, verify vendor data, process payments, and coordinate Board signatures.
- Oversee receivables including HOA dues, track delinquencies, issue late notices, and coordinate collections as needed.
- Manage water bill delinquencies and prepare relevant Board reports.
Board Meeting Preparation
- Create and post monthly Board meeting agendas compliant with Florida law.
- Prepare comprehensive board packets including reports, bids, and management recommendations.
- Draft meeting minutes for approval.
Amenity Oversight
- Assist in managing shared amenities (pool, gym, tennis courts, grill area) ensuring compliance with rules and coordinating maintenance.
Qualifications
- Active Florida CAM license (required).
- Minimum 2+ years’ experience in on-site community association management or related property operations role.
- Strong knowledge of Florida HOA/Condo statutes, governing documents, and association compliance.
- Proven skills in covenant enforcement, budget preparation, financial management, and project oversight.
- Experience supervising maintenance and office/front desk staff.
- Proficient with AppFolio, Microsoft Office, and email communication platforms.
- Excellent communication, customer service, multitasking, and problem-solving skills.
- Ability to work independently and as part of a team.
