Estate Planning Paralegal

Job Type: Full-time

Location: Bradenton, FL (on-site)

Salary:$50,000-$60,000 per year DOE

Key Responsibilities:

1. Estate Planning Document Preparation

  • Draft Florida estate planning documents, including wills, revocable and irrevocable trusts, durable powers of attorney, living wills, and HIPAA releases using legal templates or drafting software (WealthCounsel, ElderDocx, HotDocs).
  • Prepare deeds and affidavits for real estate transfers, including quit claim, warranty, and lady bird deeds.
  • Customize documents based on attorney instructions and Florida statutory requirements.
  • Assist in trust funding, including assignment of assets and preparation of transfer letters.

2. Client Coordination

  • Collect client data via intake forms and structured interviews.
  • Act as a liaison for client communication regarding document needs, signing logistics, and case updates.
  • Schedule consultations, document signings, and coordinate notary and witness services.

3. Legal File & Workflow Management

  • Maintain accurate, confidential digital and physical client files.
  • Track ongoing estate planning cases and follow up on open items.
  • Use internal checklists and workflows to ensure completeness of each file.

4. Quality Assurance and Document Finalization

  • Proofread legal documents for accuracy and compliance with Florida law.
  • Assemble final signing packets and prepare binders or electronic files for client delivery.

5. Research and Legal Compliance

  • Conduct limited legal research on Florida-specific estate laws.
  • Help maintain up-to-date legal templates and forms in line with state requirements.

6. Third-Party Communication

  • Prepare documentation for banks, financial advisors, title companies, and CPAs.
  • Coordinate document exchanges with financial professionals as needed.

Qualifications:

  • 2+ years of experience as a paralegal in estate planning or probate law
  • Strong knowledge of Florida probate, trust, and homestead laws
  • Proficiency with Microsoft Office and legal drafting software (preferred: WealthCounsel or HotDocs)
  • Exceptional attention to detail, time management, and client service
  • Professional written and verbal communication skills
