The Front Desk Receptionist is a high-visibility role responsible for managing the front-of-house experience and supporting daily office operations. This position serves as a trusted, senior presence at the front desk, ensuring a professional, secure, and welcoming environment while supporting office efficiency, consistency, and process excellence.
The ideal candidate demonstrates strong judgment, exceptional communication skills, and the ability to operate confidently in a fast-paced, dynamic environment.
Key Responsibilities

Serve as the primary point of contact for all visitors, guests, and inbound communications, representing the company with professionalism and confidence

Greet and welcome visitors in a courteous, polished, and service-oriented manner

Answer and route incoming phone calls promptly and professionally

Enforce office security procedures by verifying scheduled visitors, ensuring guest sign-in compliance, and notifying appropriate personnel of arrivals

Maintain a clean, organized, and professional reception area and common spaces at all times

Manage and track visitor activity, calls, and inquiries with accuracy and discretion

Coordinate scheduling and meeting support for office teams as needed

Receive, sort, and distribute mail, packages, and deliveries

Monitor office supply inventory and coordinate restocking as needed

Maintain and organize office filing systems and front desk documentation
-
Operate standard office equipment including copiers, scanners, fax machines, and computers

Serve as a point of escalation for front desk or visitor-related issues

Support onboarding or training of new front desk or administrative staff as needed

Identify opportunities for improving front desk operations, office flow, and visitor experience

Support ad-hoc administrative and operational tasks as assigned
Qualifications & Experience

High school diploma or GED required
-
3+ years of experience in a receptionist, front desk, or administrative support role

Proven ability to manage front desk operations independently

Strong professional phone presence and in-person communication skills

Excellent written and verbal communication skills in English

High level of organization, attention to detail, and time management

Ability to multitask and prioritize effectively in a fast-paced environment

Strong interpersonal skills with a calm, confident, and service-oriented demeanor
