We’re seeking a highly organized Project Coordinator to support our Project Managers and assist with daily operations for commercial maintenance and construction projects across Florida. This role focuses on managing job details, coordinating field activity, and keeping projects moving efficiently from start to finish.

Responsibilities

Operational Support

• Work directly under and in support of the Project Managers to assist with task coordination, follow-ups, and daily project workflow.

• Organize, track, and update work orders from initiation through completion.

Communication & Coordination

• Communicate with clients, vendors, and field technicians to confirm scopes of work, scheduling details, material requirements, and site access.

• Follow up on open work orders, ensuring timely updates to clients and accurate information in required portals.

Documentation & Accuracy

• Review and verify photos, notes, technician reports, and other documentation for completeness and accuracy.

• Maintain organized records and job files to ensure smooth handoffs and clear project tracking.

Administrative Tasks

• Create and send estimates and invoices (training provided).

• Track material purchases, labor hours, and project expenses.

Requirements

• Strong communication and organizational skills.

• Ability to manage multiple active projects and prioritize tasks in a fast-paced environment.

• Familiarity with construction or facility maintenance terminology is helpful but not required.

• Proficiency with basic computer tools (Google Workspace, Excel, PDF editing, etc.).

• Reliable, detail-oriented, and able to work independently with accountability.

• Bilingual (Spanish)

Schedule & Compensation

• Full-time, Monday–Friday. Occasional flexibility may be needed for urgent project needs.

• Compensation based on experience.
