Job Summary
We are seeking a reliable, professional, and patient-focused Front Desk / Medical Receptionist to serve as the first point of contact for our medical practice. This role is essential in creating a welcoming environment while ensuring efficient administrative and scheduling operations. The ideal candidate is organized, detail-oriented, and comfortable multitasking in a fast-paced healthcare setting.
Key Responsibilities
Patient Experience & Front Desk Operations
- Greet patients warmly and professionally upon arrival
- Check patients in and out efficiently
- Verify patient demographics and insurance information
- Collect copays, balances, and payments at time of service
- Maintain patient confidentiality and HIPAA compliance at all times
Scheduling & Phone Management
- Answer multi-line phones and respond to patient inquiries
- Schedule, confirm, and reschedule appointments
- Manage provider schedules and daily appointment flow
- Communicate delays or changes to patients as needed
Insurance & Administrative Duties
- Verify insurance eligibility and benefits
- Obtain referrals and authorizations when required
- Scan, upload, and maintain accurate patient records in the EMR
- Process incoming faxes, emails, and patient forms
Office Support
- Coordinate with clinical staff and providers to ensure smooth patient flow
- Maintain a clean, organized front desk and waiting area
- Assist with additional administrative tasks as assigned
Qualifications
Required
- High school diploma or equivalent
- Prior experience in a medical office, front desk, or customer service role
- Strong communication and interpersonal skills
- Basic computer skills and ability to learn EMR systems
- Ability to multitask and remain calm under pressure
Preferred
- Experience with medical scheduling and insurance verification
- Familiarity with EMR systems (e.g., ModMed, Epic, Athena, etc.)
- Knowledge of medical terminology
- Bilingual (English/Spanish) a plus
