Job Description

Position Purpose: To provide efficient support for patients accessing healthcare services by managing registration and scheduling tasks, coordinating telehealth visits, and utilizing clinical knowledge to enhance patient care. The role bridges administrative and clinical functions to ensure smooth and professional experience for both patients and providers in a virtual or in-person care environment.

Position Requirements / Qualifications :

Licensure/ Certification:

Maintain current CPR certification from the American Heart Association.

Skills / Ability:

Ability to work as a team member. Must have clerical skills, ability to operation of calculator, telephone etiquette, human relation skills and organizational skills. Must be computer literate. Ability to demonstrate effective oral and written communication skills.

Position Responsibilities:

  • Register new client on EPIC as per guidelines issued by Community Health of So. Florida.
  • Prior to generating a new medical record number, conduct a thorough review for any previous enrollment in the CHI system EPIC by examining The Children’s Trust platform (Frontline/Health Master), the Provider Flow System, and the general consent form to ensure continuity and accuracy of records.
  • Re-new or update existing client's profiles as per guidelines issued by Community Health of South Florida.
  • Performs financial screening on active clients who have requested services from Community Health of South Florida, Inc.
  • Collect and update patient demographics, insurance, and medical history.
  • Schedule, reschedule, and confirm appointments, for virtual visits
  • Use EPIC, Provider Flow, and Frontline/Health Master systems to manage patient records and registration workflows.
  • Assist providers in transitioning between in-person and telehealth appointments.
  • Communicate with providers, nurses, and other care team members
  • Submit daily, weekly, and monthly reports to the assigned supervisor as directed.
  • Accurately compile and submit statistical data daily
  • Ensure the accurate completion and timely submission of statistical data daily.
  • Adhere to HIPAA regulations and Confidentiality Policies in the delivery of both in-person and virtual care services

Schedule and coordinate telehealth and in-person appointments.

  • Explain forms and obtain consent for treatment and telehealth.
  • Gives all new patients a New Patient History form to complete before Nursing Staff calls the patient.
  • Collaborate with the Health Information Management (HIM) department while working in Provider Flow to ensure all general consent forms are properly routed following the registration of each patient.
  • Conduct verification of Medicaid and all other insurance carriers to confirm patient eligibility and benefits.
  • Monitor and verify that all staff are properly registered in the EPIC system to ensure access and compliance, and ensure accurate student registration by staff within the system.
  • Ensure consistency between name/DOB in Trust and CHI systems.
  • Maintaining the workflow of documents to and from Health Information Management Department.
  • Provide support and assistance with tasks assigned through the School Health Task Pool.
  • Consistently demonstrate appropriate and professional telephone etiquette in all communications.
  • Participates in Continuing Educational In-services and Performance Improvement Activities.
  • Maintains punctuality and readiness for work, with consistent attendance and minimal unexcused absences.
  • Performs other duties as assigned, including variable shifts if needed within the School-Health Department.
