Job Summary
The Clinic Operations Manager is responsible for the strategic oversight and daily execution of all operational functions within their assigned region. This includes full responsibility for regional scheduling, clinic logistics, inventory, performance review coordination, and school communication/coordination. The role ensures smooth operations that support clinical service delivery, compliance, and client satisfaction. The Clinic Operations Manager collaborates cross-functionally with the clinical team and the Director of Operations to drive performance, efficiency, and accountability. This is not a people management role; rather, the Clinic Operations Manager supports the Regional Clinical Director in overseeing the operational practices and infrastructure of the region. Regional travel is required for this role. The Clinic Operations Manager reports directly to the Regional Clinical Director.
Key Responsibilities and Duties
Scheduling Oversight – Full Regional Responsibility
- Manage and maintain all client and RBT schedules within the region, including initial case assignments, ongoing coverage, new hire trainings, and scheduling optimization.
- Partner with the Regional Clinical Director to understand staffing needs and make data-driven scheduling decisions that align with clinical and operational goals.
- Respond to real-time call-outs, cancellations, and scheduling emergencies by reallocating staff and updating CentralReach.
- Ensure scheduling compliance with client treatment plans, billable targets, and staff availability.
School Communication & Documentation Coordination
- Serve as the regional point of contact for all school-based partnerships.
- Complete and submit school-required documentation (e.g., PIPs, onboarding forms, agency verification) in a timely and professional manner.
- Collaborate with the clinical team to coordinate services and ensure school-based needs are met with accuracy and consistency.
Operations Management & Clinic Support
- Conduct regular walkthroughs of clinics to assess operational readiness, functionality, and safety.
- Track and restock clinic supplies in partnership with Clinic Leads or site-based staff; maintain budgets and reduce waste.
Identify and escalate facility maintenance needs and work with vendors to ensure resolution.
- Support in the organization of seasonal and holiday celebrations, employee appreciation events, spirit weeks, and seasonally appropriate arts and craft activities in partnership with the Regional Clinical Lead.
Performance Review Coordination & Tracking
- Manage the full cycle of RBT and non-clinical staff performance reviews (to be issued/conducted by the Regional Clinical Director), including tracking deadlines, sending review forms, and coordinating with clinical teams.
- Maintain documentation of performance review completion and deliverables.
- Collaborate with the Director of Operations to address patterns, gaps, or missed reviews and implement follow-up strategies.
Administrative Reporting & Project Execution
- Track and report on key operational data including staffing metrics, supply costs, scheduling gaps, and clinic utilization.
- Partner with the Director of Operations to develop, execute, and follow up on regional operations initiatives and improvement plans.
- Maintain records and documentation of clinic performance, scheduling logs, school communications, and compliance efforts.
Team Collaboration & Communication
- Serve as a regional liaison between administrative, clinical, and leadership teams to support alignment and execution.
- Support onboarding of new hires by preparing schedules, login credentials, and coordinating clinic assignments.
- Model operational excellence and reinforce expectations for professionalism and reliability.
Position Overview
We are seeking a highly organized and proactive Clinic Operations Manager to oversee the operational infrastructure of our clinical services within a designated region. This individual will be responsible for managing daily operations including scheduling, clinic logistics, school communication, inventory management, and performance review coordination.
This role is non-supervisory and does not involve direct people management. Instead, the Clinic Operations Manager supports the Regional Clinical Director by executing and maintaining efficient operational systems and processes that ensure smooth service delivery, compliance, and overall client satisfaction.
Requirements:
Qualifications
- Bachelor's degree in Business, Healthcare Administration, Psychology, or related field (preferred).
- 2+ years of operational experience in healthcare, education, or behavioral health setting.
- Experience with scheduling platforms (CentralReach preferred).
- Strong organizational and problem-solving skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Must be comfortable with regional travel.
Compensation details: 50000-60000 Yearly Salary
