DEACON, MOULDS & STOFER, a fast-paced insurance defense law firm, located in beautiful St. Petersburg, FL, is seeking a full-time legal administrative assistant to support attorneys handling long-term care and medical malpractice defense cases.
Responsibilities
- Prepare, format, and proofread legal correspondence and documents (including transcription)
- Maintain and organize physical and electronic case files using ATO software and established firm procedures
- Schedule meetings, depositions, and court appearances
- Manage attorney calendars and track deadlines
- Handle incoming calls, emails, and mail; respond or route appropriately
- Coordinate with clients, medical offices and court personnel
- E-filing via Florida Court Portal, processing e-service
- Support attorneys with general administrative tasks and office procedures
Requirements
- Minimum two years of experience as a legal secretary/legal administrative assistant, preferably in defense litigation or healthcare-related law
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) essential
- ATO case management software and Adobe Pro a plus
- Strong attention to detail, highly organized and ability to manage multiple tasks
- Excellent written and verbal communication skills
- Familiarity with legal terminology and procedures
- Professional demeanor and discretion in handling confidential information
Qualifications
- High school diploma or equivalent required; additional legal training or certification a plus
