Job Description

We are seeking a dynamic construction administrative candidate who has experience supporting the bidding & estimating process. This opportunity is for someone who enjoys being on the phone, getting projects through to the finish line, and has a high sense of urgency.


This is a 100% in-office position and a support role for all pre-construction efforts. Our client has a warm and inviting office culture, believes in developing their talent, and has a great reputation within the industry!


Responsibilities of the Estimating Coordinator role include:

  • Provide day-to-day administrative and operational support to the estimating department.
  • Manage bid documentation, drawing logs, and project folders to ensure version accuracy.
  • Coordinate with subcontractors and vendors regarding bid invitations, revisions, and submissions.
  • Track bid activity and maintain organized records of awarded and closed projects.
  • Assist with issuing invitations to bid, prequalification forms, and award/loss notifications.
  • Support the team with plan printing requests, updates, and tracking of revisions.
  • Prepare and maintain electronic and physical bid binders and departmental files.
  • Handle routine department communication, scheduling, and supply orders.
  • Participate in other estimating or office support functions as needed.


Qualifications:

  • 3-5 years of experience in construction administration, estimating support, or project coordination.
  • Strong organizational and multitasking abilities, with sharp attention to detail.
  • Excellent written and verbal communication skills when liaising with subcontractors and internal teams.
  • Proficiency in Microsoft Excel and comfort learning new software; familiarity with Procore, Pantera, or PlanSwift is a plus.
  • A proactive attitude and sense of urgency in meeting deadlines.
