Position Summary
The Coaching Coordinator plays a critical role in supporting our coaching team, ensuring seamless advisor engagement, communication, and operational execution. You’ll partner directly with coaches and internal stakeholders to manage scheduling, pre- and post-call logistics, documentation in Salesforce, and special projects.
This is a fast-paced, collaborative position ideal for someone detail-oriented, tech-savvy, and proactive. Minimal travel may be required.
Key Responsibilities

Serve as the primary operational support for the coaching team, managing calendars and scheduling in Salesforce and Outlook.

Handle inbound and outbound calls with professionalism; provide proactive follow-up and call recaps.

Initiate outbound calls to drive awareness and registration for webinars, events, and coaching academies.

Use dictation software (CopyTalk, Jump App) to transcribe and distribute post-session notes.

Draft and send post-call emails and communications via both manual and automated tools.

Maintain accurate documentation of all advisor interactions in Salesforce; run reports to support performance tracking.

Support logistics for seminars, conferences, and events, including travel and supplies.

Provide administrative assistance—preparing documents, managing project timelines, and creating team resources.

Coordinate internal meetings, prepare agendas, and distribute recaps and action items.

Proactively identify opportunities to streamline processes and improve team efficiency.

Represent the coaching department with professionalism in all interactions.
Must-Have Qualifications
Experience
-
Background in real estate, financial services, administrative/executive coordination, or banking strongly valued.

Excellent written and verbal communication skills with a white-glove service approach.

Strong ability to work independently, take initiative, and drive tasks forward.
Education

High school diploma required; associate’s or bachelor’s degree preferred.
Technology Skills

Proficient in Microsoft Office Suite (especially Outlook).

Strong CRM experience (Salesforce preferred), with the ability to catalog data, run reports, and track metrics.

Familiarity with dictation tools (CopyTalk, Jump App) and email automation platforms a plus.
Work Environment & Requirements

Office-based role with occasional travel to conferences and satellite offices.

Extended periods working at a desk on a computer.

Must be comfortable with regular phone and email communication.

Ability to lift up to 10 lbs on occasion.
