Responsibilities:
- Greet visitors and clients promptly and professionally.
- Answer and direct incoming calls to the appropriate department or individual, taking messages as needed.
- Effective and professional communication abilities, including being able to communicate with all levels of employees, vendors and clients or guests.
- Perform a variety of clerical receptionist duties, including printing, photocopying, transcribing, emailing documents, and organizing office paperwork.
- Prepare and manage expense reports for the HR department, including personal and travel expenses.
- Monitor office supply levels, handle shortages, and order supplies as needed.
- Contact and negotiate with suppliers and vendors to gather quotes, order supplies and maintain office inventory.
- Report maintenance issues, such as burned-out lights and leaks, to the General Affairs (GA) team and contact vendors to resolve issues.
- Handle the preparation and dispatch of outgoing mail.
- Arrange meetings and conferences, including scheduling, coordinating and serving refreshments as needed.
- Ensure common areas such as the reception, cafeteria, and pantry are tidy and well-stocked.
- Resolve office-related malfunctions and respond to requests or issues in a timely manner.
- Assist the HR/GA team and respond to various requests from all teams to support efficient operations.
- Assist HR Department organizing company-wide events, designing and ordering branded materials, etc.
- Follow all company rules and regulations.
- Must be able to execute a task with little direction from start to finish, in a fast-paced environment.
Requirements:
- Proven work experience in a receptionist role, front office representative, office assistant, or similar role.
- Knowledge of office equipment
