Responsibilities:

  • Greet visitors and clients promptly and professionally.
  • Answer and direct incoming calls to the appropriate department or individual, taking messages as needed.
  • Effective and professional communication abilities, including being able to communicate with all levels of employees, vendors and clients or guests.
  • Perform a variety of clerical receptionist duties, including printing, photocopying, transcribing, emailing documents, and organizing office paperwork.
  • Prepare and manage expense reports for the HR department, including personal and travel expenses.
  • Monitor office supply levels, handle shortages, and order supplies as needed.
  • Contact and negotiate with suppliers and vendors to gather quotes, order supplies and maintain office inventory.
  • Report maintenance issues, such as burned-out lights and leaks, to the General Affairs (GA) team and contact vendors to resolve issues.
  • Handle the preparation and dispatch of outgoing mail.
  • Arrange meetings and conferences, including scheduling, coordinating and serving refreshments as needed.
  • Ensure common areas such as the reception, cafeteria, and pantry are tidy and well-stocked.
  • Resolve office-related malfunctions and respond to requests or issues in a timely manner.
  • Assist the HR/GA team and respond to various requests from all teams to support efficient operations.
  • Assist HR Department organizing company-wide events, designing and ordering branded materials, etc.
  • Follow all company rules and regulations.
  • Must be able to execute a task with little direction from start to finish, in a fast-paced environment.

Requirements:

  • Proven work experience in a receptionist role, front office representative, office assistant, or similar role.
  • Knowledge of office equipment
