Job Summary:
Coordinates reception area activities to promote communication throughout the facility, coordinates the Surgery Schedule according to the facilities policy and procedures, and acts as a liaison between the facility, physician/practice and patient/family, performs clerical and reception duties and responsibilities as well as maintains the Medical Records department and under the supervision of the Medical Director works as a Medical Assistant in times that require such persons in the pre-op/PACU area.
Requirements:
- Frequent and constant judgment and ability to solve problems
- Language skills adequate for written and interpersonal communication in English
- Communicates effectively with patients, visitors, physicians, and co-workers
- Visual and auditory acuity adequate to monitor patients and visitors activities and for frequent use of computers and occasional use of other business office equipment
- Ability to sit for long periods of time and to perform desk and office duties
- Adhere to all Policies and Procedures in performing job duties and responsibilities
Surgical and central sterile services:
- Coordinate shift operations including scheduling, assigned activities, and resources.
- Serve as a technical or functional resource for staff and performs similar duties.
- Assign, monitor, and review progress of work.
- Monitor and report compliance with policies and procedures.
- Oversee and evaluate orientation and training of assigned associates.
- May provide input in the review and evaluation of staff performance.
- Oversee utilization and maintenance of supplies, instruments, and equipment.
Front desk
- Ability to answer multiple phone lines, transfer calls, take and distribute messages to the correct parties in a timely fashion
- Data entry, sending, receiving and distributing all correspondence for the facility
- Accurately prepares the schedule for timely distribution, have the ability to review and manipulate the surgery schedule on a daily basis
- Keep all staff apprised of any changes to the schedule, or of any special needs cases
- Initiates records for new patients, creates computer index, pre-register all new patients, compile all charts for the next days surgeries
- Writing the next days schedule on the board every evening as well as printing and distributing the schedule for the next days surgeries
- Check in all patients, copy patients drivers licenses and insurance cards, gather all pertinent information needed (labs, pathology etc) prepare file labels, collect all co-pays and deductibles from patients, and make sure that charts are complete before sending the patient to the OR for surgery
- At the days end, Re-review all daily charts for completeness
- Complete OR Log with all pertinent information on a daily basis
- Keep complete records of all daily confirmations from providers scheduling staff; all daily schedules with a complete list of staffing, and all canceled cases with complete reasons for cancelations
- Receive and sign for any shipments delivered to front desk
- maintains cleanliness and order of the patients waiting area
Medical records:
- Maintain filing statistics and audit filing sequence
- File all data regarding patients into patient specific charts, marking receipt of all said information on chart check list
- Responds to correspondence requests for medical records, processes letters and reports, document the completion of said requests
- Receives and distributes lab results to D.O.N. for review, then to the provider for review
- Distributes materials to other departments, requests information from other department
Qualification:
High School diploma or GED
Knowledge of Medical Terminology required
Computer experience required
Good communication skills required
Two years Medical / clerical experience preferred
