Assistant Property & Assistant Association Manager (HOA / Condominium & Rental Properties)
Position Summary
The Assistant Property & Assistant Association Manager provides administrative and operational support to the Property Manager and the licensed Association Manager (CAM). This position assists with daily property operations, homeowner and resident relations, maintenance coordination, financial support, and compliance activities. This role does not act independently as a Property Manager or Association Manager.

Key Responsibilities
Administrative & Resident / Homeowner Support
- Serve as a point of contact for residents, homeowners, Board members, and vendors
- Answer phones, emails, and walk-in inquiries professionally
- Prepare and distribute routine notices, letters, forms, and community communications
- Maintain organized electronic and physical property and association records
Property & Association Operations
- Assist with move-ins, move-outs, leasing, and homeowner documentation
- Support enforcement of lease terms, rules, and regulations under management direction
- Document complaints, violations, and follow-up actions
Board & Meeting Support (HOA / Condominium)
- Assist with preparation and posting of board, annual, and special meeting notices
- Prepare agendas, sign-in sheets, and meeting packets as directed
- Attend meetings when requested and track follow-up items
Maintenance & Vendor Coordination
- Create, track, and follow up on work orders
- Schedule vendors and coordinate access to units and common areas
- Assist with inspections and maintenance documentation
- Monitor completion of work and report issues to management
Financial & Administrative Assistance
- Assist with rent and assessment postings and payment tracking
- Prepare invoices and vendor documentation for review
- Assist with delinquency notices and administrative follow-ups
Compliance & Support Functions
- Assist with compliance under governing documents and applicable laws
- Support inspections, safety documentation, and recordkeeping
- Perform other duties as assigned by management
Authority & Limitations
- Works under the supervision of the Property Manager and/or licensed CAM, Bo9ard President
- Does not sign contracts, approve expenditures, or make final management decisions
- Does not act independently on behalf of the Association or property
Qualifications
- Experience in property management, HOA/condo administration, or administrative support preferred
- Florida CAM license not required; pursuing CAM a plus
- Strong organizational, communication, and multitasking skills
- Ability to handle confidential information professionally
- Proficient in office software and property management systems
- Bilingual (English/Spanish or Creole) preferred
Work Environment
- Office-based with regular on-site inspections
- Occasional evenings for meetings
