JOB SUMMARY:
The Intake Coordinator is responsible for taking all referrals received from referral sources such as physician offices, clinics, discharge planners, case managers, and other sources. Enters patient demographics into the computer system, communicates ability to service the customer to the referral source. Daily responsibilities include the development of relationships with referral sources and communication with outside sales team. Responsible for answering and routing all company calls. To be successful in this role, must have exceptional customer service skills.
QUALIFICATIONS:
- Graduate of an accredited high school or attained a GED certificate from an accredited institution.
- 0-2 years of customer service experience
- Excellent verbal communication skills in the English language for articulation of company policies and practices to patients and vendors.
- Excellent written communication including correct grammatical form.
- Excellent interpersonal skills to maintain relationship with both internal and external customers.
- Detail oriented coupled with exceptional planning and organizational skills.
- Ability to work independently, with minimal supervision and, at the same time, as part of a diverse team.
- Must have exposure to a fast-paced, deadline driven environment where timelines are strictly adhere to by management staff.
- Utilization of analytical abilities to initiate and present simple reports of a detailed nature.
- Problem resolution capabilities and follow-up skills to assure that challenges are identified and resolve before escalation.
- Applied PC skills (Outlook, Excel, Word) and ability to learn other proprietary software programs.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Enters all new referrals into operating system.
- Answer, screen and transfer inbound phone calls.
- Screens fax queue and assigns document to appropriate departments.
- Prepare written responses to routine inquiries.
- Prepare and modify documents including correspondence, reports, draft memos and emails.
- General clerical duties including photocopying, faxing and mailing.
- Maintain electronic and hard copy filing system.
- Provides highest level of customer service.
- Excellent phone and communication skills.
- Clear and pleasant demeanor.
- High degree of initiative, and continual desire to succeed.
- Great attitude, strong commitment and work ethic are a must.
- Maintains HIPPA compliance and promotes confidentiality and compliance to organizational policies and practices.
- Continuously promotes a professional manner with co-workers, vendors and patients.
- Process refrigerator orders for patients and clinics
- Other essential job functions as assigned.
Monday - Thursday 10am-7pm, Friday 8am-5pm, no weekends
