The Spa Treatment Coordinator, reporting to the Spa Treatment Manager and Director of Spa & Wellness Operations, plays a key role in ensuring smooth and efficient daily operations. This role is responsible for maintaining a clean, organized dispensary and treatment rooms, managing the upkeep of Touchless Wellness Technologies, and professionally booking and coordinating spa, wellness, and fitness services. The coordinator communicates enthusiastically with guests, provides clear explanations of services, and ensures a seamless check-in and check-out experience for all visitors and day spa guests. Above all, the Spa and Wellness Coordinator upholds Carillon’s operational standards and Forbes service guidelines to deliver an exceptional and elevated guest experience.
- Essential Job Functions
- Comprehends and abides by Carillon Miami Wellness Resort policies and procedures.
- Have a thorough knowledge of Carillon services, hours of operation, facility, etc.
- Break down and dispense product, unload linens, and store them as directed by Spa Treatment Manager.
- Recognize the importance of “sales” in every aspect of their role and be responsible for achieving sales targets as set by the Spa management team.
- Cleans and disinfects all Touchless Wellness Technologies equipment daily.
- In charge of escorting guests to and from Touchless Wellness Experiences.
- Maintain standard operating procedures for each piece of Touchless Wellness Technologies equipment which is guided by Director of Health & Wellness.
- Maintains cleanliness in spa areas and assists other team members as needed.
- Serve as the lead trainer for fellow Team Carillon Members on Touchless Wellness Technologies equipment under the direction of Director of Spa & Wellness.
- Be able to fully explain and operate each piece of Touchless Wellness Technologies equipment.
- Maintain ongoing communication with developers, owners, and product representatives to ensure any problems are reported and resolved promptly.
- Submit daily/weekly maintenance report containing all pertinent information regarding Touchless Wellness Technologies equipment performance.
- Maintains the highest level of product knowledge and has complete knowledge of all spa services presently offered.
- Responsible for keeping all products up to par levels, tracking linen flow and pars, making sure computers are running properly, updating bulletin boards, maintaining all equipment (hydrocollator, hot cabby, sink) in good working order, keeping all tools and equipment stocked, and the Dispensary shelves and cabinets clean and organized.
- Works in conjunction with Spa & Fitness Operations Manager and Spa Treatment Manager to maintain appropriate department inventory levels and facilitating accurate counts at the end of each month.
- Works assigned schedule and arrived and departs from their shift on time.
- Ensures that work areas are clean and set according to procedures.
- Informs Treatment Manager or other management personnel about product needs.

- Additional Duties
- Complies with Spa Department policies.
- Complies with Spa Department operational procedures.
- Sets up and breaks down assigned treatment room, maintains neat and well stocked room, before, after and throughout shift.
- Attends department Trainings and daily line ups, weekly and monthly departmental meetings.
- Interacts cooperatively and with consideration towards guests and co-workers.
- To be adaptable and accountable for all actions
- Performs other job-related duties as directed including assisting in all areas of the spa as and when necessary.
- Education, Experience and Skill Requirements
- Must possess a cooperative and positive attitude, exercising reason.
- Must be able to interact professionally and with sensitivity to the needs of the guests and co-workers.
- Must be dependable and able to adjust to schedule changes, including cancellations and additions.
- Excellent communication skills – English language skills required.
- 2 years luxury spa experience preferred.
