The Contracts Administrator is responsible for supporting the contract management process by preparing, reviewing, and maintaining all contract documentation. This role ensures compliance with company standards, insurance requirements, and bonding obligations while providing administrative support to Project Managers and executive leadership. The Contracts Administrator serves as a key liaison between internal teams, vendors, and external partners to facilitate timely and accurate contract execution.

Responsibilities:

  • Review and provide comments on all contracts during the bidding process and prior to execution.
  • Prepare contracts and amendments using the Catina program.
  • Coordinate with Project Managers to obtain timely approvals of contracts and amendments.
  • Route contracts and amendments for CEO signature and ensure proper execution.
  • Maintain accurate and organized contract files, both electronic and hard copy.
  • Request and track Certificates of Insurance (COIs) for each contract.
  • Communicate with vendors to resolve insurance deficiencies and ensure compliance with requirements.
  • Request and maintain records of bonds associated with contracts.
  • Maintain contract records, including tracking and managing pending and approved change orders for existing contracts.

Qualifications:

  • Minimum of 2–3 years of experience in contract administration, procurement, or a related field required.
  • Associate’s or Bachelor’s degree in Business Administration, Legal Studies, or a related field preferred.
  • Strong organizational skills with excellent attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with Catina program preferred.
  • Strong interpersonal and communication skills, both written and verbal.
  • Ability to work collaboratively across departments and with external stakeholders.
  • Experience in Trible Vista and Trimble B2W preferred.
